Primary objective
Provide high level executive administrative support to the Senior Executive Director Mines and Manager Governance and
Securities and coordinate administrative support issues across the Division.
Context statement
The Governance and Securities team sits within the Management group of the Mines Branch and provides quality advice,
support and coordination to ensure the effective operation of the Divisional strategic objectives and priorities in line with
Departmental requirements.
Key duties and responsibilities
1. Provide high level executive administrative support which may include:
- Managing email inboxes, diaries, meetings and travel arrangements
- Monitoring all communication channels in and out of the Management group, including telephone and email
enquiries, screening calls and delivering messages in a timely manner
- Maintaining appropriate administrative systems, registers, processes, databases and record management
- Providing high level secretarial support including minute taking
- Ensuring effective and efficient workflows including the processing of correspondence, including ministerial
correspondence, reporting requirements and the coordination of recruitment activities.
- Managing a range of Procurement functions including travel arrangements and processing credit card transactions.
2. Identify opportunities to improve existing processes and improve productivity in administrative support functions.
3. Liaise in a discreet and confidential manner with a wide range of people including but not limited to, all levels of staff
within the agency, the Minister’s office, external stakeholders and the general public.
Selection criteria
Essential
1. Demonstrated interpersonal, written and oral communication skills to communicate professionally and effectively.
2. Proven successful experience in providing executive administrative support; with a high attention to detail, sound
judgement and the ability to maintain confidentiality.
3. Strong organisational and time management skills with a demonstrated ability work independently, to prioritise tasks and
work under pressure.
4. Demonstrated successful experience of working in a team environment.
5. Sound knowledge in computer systems, records management and major business systems or the ability to obtain quickly.
6. Ability to identify opportunities for improvements in processes to reduce complexity and increase productivity.
Desirable
1. Sound knowledge of the business and priorities of government.
