Position Highlights
The Ryan White program, a federally funded HIV clinic housed under the University of Arizona’s Division of Infectious Diseases, is seeking applicants for an Administrative Support Assistant II to support activities and functions of the program.
This individual should be able to prioritize competing demands and work diligently under pressure. The Administrative Support Assistant II incumbent will have a high degree of attention to detail and will be skilled at incorporating new and effective ways to achieve better results. The ideal candidate has strong written and verbal communication skills and is proficient with word processing applications. They should also demonstrate compassion and discretion in addressing the unique challenges of people with HIV.
This position may be eligible for a hybrid work week flexible work arrangement in conversation with the supervisor.

Duties & Responsibilities
- Helps to administer the Emergency Financial Assistance program including processing gift cards and housing assistance payments requests.
- Serves as a main point of contact for the clinic phone number.
- Monitors the fax line and ensures incoming faxes are distributed to the appropriate staff.
- Maintains the Pcard, coordinates Pcard use among staff, ensures compliance, and completes required paperwork.
- Assists with travel arrangements and processing reimbursements.
- Supports the coordination of training events including communicating with venue and caterers and ensuring expenses are within the defined budget.
- Prepares meeting agendas.
- Records and maintains meeting minutes.
- Maintains staff device inventory.
- Orders supplies and provides other administrative operations such as shred bin, mail, pick-ups etc.
Knowledge, Skills, and Abilities
- Possess a high level of organization skills with the ability to multitask, and track both long-term and short-term projects.
- Proficiency in Microsoft Office Suite to include Excel, Word, and Power Point.
- Excellent verbal and written communication skills.
Minimum Qualifications
- High school diploma or high school diploma equivalency is required.
- Minimum of three (3) years of relevant experience is required.
Preferred Qualifications
- Bilingual English/Spanish.
- Experience providing administrative services within the University of Arizona.
- Experience working in clinical settings.

Notice of Availability of the Annual Security and Fire Safety Report
In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University’s campuses. These reports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
