Job Title: Administrative Assistant – Commercial/Consumer Loans Department: Loans Reports To: AVP or SVP/Loans
SUMMARY The Loan Administrative Assistance position is responsible for assisting the Loan Officer in performing various duties and special projects related to the commercial/consumer loan department. Including but not limited to processing consumer, commercial, BHG, and Triad payments, advances on lines of credit, updating information on the Bank’s computer system. The position of Loan Administrative Assistant is required to be fully knowledgeable and skilled in all areas of loans, and is expected to provide leadership, training and support to less experienced department personnel. ESSENTIAL DUTIES AND RESPONSIBILITIES
Assist Loan Officer in setting up Commercial, Consumer, BHG and TRIAD loan files, responsible for maintaining department files in an accurate and efficient manner.
Scan/Index and Verify BHG and TRIAD files and other documents as necessary in imaging system in an accurate and efficient manner.
Perform procedures related to fundings, advances, pay downs, and disbursement processes within the established time frame
Prepare correspondence for loan officers as requested.
Review documentation of loan closings as needed
Order required due diligence items (i.e. Appraisals, Environmental Reports, Property Inspections and Title Commitments)
Prepare other reports as assigned or requested
Assist Lending Officer in obtaining documentation, including financial information, from customers as necessary per loan policy
Works with loan officers and third-party professionals (attorneys, appraisers, inspectors, etc.) in order to close loans in conformity with approved terms and conditions
Verifies that all pre-closing conditions have been met prior to authorizing funding
Maintain and update customer and loan information in bank’s database as changes occur
Ensure follow-up on files pending information.
Process closings for loan officers when necessary
Perform other related duties as assigned
EDUCATION and/or EXPERIENCE
High School education or GED
Strong interpersonal communication and phone etiquette
Proficient computer skills (Microsoft Word and Excel), including accuracy
Ability to work independently, multi-task, prioritize and follow instruction/meet deadlines in a timely manner
Attention to detail, accuracy and follow-through
Spanish-speaking preferred, but not required
Lending/banking experience preferred, but not required
Physical Demand and Equipment Used
Must be able to sit, walk or stand for extended periods
Must be able to travel to branch locations
Must be able to travel within town for business related matters (DMV, Title Companies, etc.)
