This position is part of the New York Hiring for Emergency Limited Placement Statewide (NY HELPS) program. For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

The Education Department seeks qualified candidates for an Administrative Assistant 1/Trainee. This is a full-time, Administrative Assistant 1/Trainee, 12-month, contingent permanent, SG11, CSEA represented position with an entry level salary of $46,306.
KEY RESPONSIBILITIES:
The successful candidate will perform duties including (but not limited to) the following:
Provide excellent customer service to students, faculty, staff, and clients of the Youngerman Clinic
Provide clerical support to the department chair and clinic director, and the faculty, and staff as needed
Compose, review, edit, screen, respond, evaluate, and prioritize correspondence and reports
Assist in creating and maintaining website pages
Coordinate and maintain Education calendars, contacts, and shared tasks using Google calendar
Prepare folders and materials for incoming students, including advising folders
Reconcile and maintain P-Card, Travel and NETcard records and track departmental accounts
Prepare check request forms
Track balances of the office fiscal accounts
Provide administrative support with the planning, scheduling, and coordination of departmental events, including the annual continuing education event.
Maintain inventory and requisition of office supplies, equipment, furniture, and professional memberships
Use of various digital tools including Microsoft Word, Excel, SUNY Business Intelligence (BI) software
Send and collate various department surveys, forms, and materials for accreditation and other CDS administrative purposes
Be aware of, understand, and follow all university policies.
Job Requirements:
This position is part of the New York Hiring for Emergency Limited Placement Statewide (NY HELPS) program.
Non-competitive (NY HELPS):
High school diploma or high school equivalency diploma
Two years of experience in administrative support
Use of office software (e.g., email, word processing)
OR
Reassignment Requirement: You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.
Reinstatement Requirement: You must be a former state employee to request reinstatement to the title that was held (or transferable title).
Administrative Assistant Trainee 1 Transfer Eligibility Requirement: You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).
Administrative Assistant Trainee 2 Transfer Eligibility Requirement: You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.
Administrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.
Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.

Salary Range listed encompasses the hiring rate of an Administrative Assistant Trainee 1 (NS08) through the job rate of an Administrative Assistant 1 (Grade 11).
