Administrative Coordinator
Position Summary
The Department of Internal Medicine - General Medicine is seeking to hire an Administrative Coordinator. This opportunity is for an organized, detail-oriented individual who can work effectively and independently in a multi-task environment. Our team consists of an extremely large and diverse group of staff who are highly energetic and dedicated to the success of our department. This position requires an individual who possesses superb communication skills, reliability, and the ability to handle a high level of interaction amongst several entities, both internal and external to the University.
Duties include but not limited to: Coordinate and maintain the following: This position maintains Division website upkeep, including social media posts advertising Team work, reconciliation of budgets, inventory control and maintenance upkeep for two vehicles used by Team, including coordination and upkeep for parking areas for faculty/staff vehicles to easily access Mobile Medical Team vehicles, event coordination for retreats, fundraisers, conferences etc., Facilitating Travel and lodging for students to attend conferences; Maintains student rotation schedules; Retains student’ s reflection forms for team’ s review; Provide Administrative support to the division faculty and back up support for other staff while out. Processing leave requests, tracking faculty development funds (FDF) maintaining master spreadsheets, reimbursements, purchases, PCard allocations through Chrome River for purchases, and reconcile expenses reports. Assisting in travel arrangements for conferences. Upkeep and maintenance of Division Inventory Control and offices. Will assist with other miscellaneous requests from faculty. Conditions of Employment

Minimum Qualifications
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
- Superb communication skills and the ability to handle high level of interaction amongst several entities, both internal and external to the University.
- Experience with UNM's Banner 9, Lobo Mart, Chrome River, Tiger Schedule, Qgenda, Smartsheets and other UNM programs
- Experience working in a diverse work environment.
- Experience with Outlook email and calendar coordination/scheduling
- Experience working at the executive level in an academic or medical administrative office supporting leadership of the Division.
- Ability to multi-task, handle multiple projects at a time, time management.
- Excellent written and verbal communication skills.
