Hourly Salary Range:
Level I: $18.65 - $24.80
Level II: $22.17 - $29.49



This position is part of a flexible classification. Qualified candidates may be hired at either level based on their experience, education and training as determined by the hiring authority.

DESCRIPTION

Duties may include, but are not limited to, the following:

  • Coordinate work flow for Asset Management/Work Order system
    • Issue work orders for preventive and corrective maintenance tasks.
    • Track work orders to ensure timely completion.
    • Issue service requests to outside departments or vendors.
    • Evaluate asset management system to identify opportunities to expand or improve the Division’s use of the program.

  • Perform or assist with a variety of administrative tasks including, but not limited to:
    • Use People Soft HRMS to enter payroll.
    • Use People Soft Financials to process invoices for payment.
    • Maintain records and files.
    • Maintain lists and databases.
    • Review invoices; contact vendors as needed to correct errors.
    • Collect and record fuel purchase documents.
    • Contact appropriate staff of vendors to address urgent facility issues.
    • Conduct basic research.
    • Prepare letters and reports.
    • Attend meeting and prepare meeting minutes.
    • Maintain inventory of office supplies and copy machine service.
    • Order office supplies and field staff personal protective equipment (PPE).
    • Coordinate and schedule the use of shared spaces such as conference rooms.
    • Retain records of employee training; schedule employees for training as required.
    • Coordinate the employee uniform program.

MINIMUM QUALIFICATIONS
Work Experience:
Level I:
Requires six (6) months of clerical experience including public contact.


Level II:

Requires two (2) years of clerical or secretarial experience including public contact.
Candidates must have the minimum amount of work experience. Years of experience are based upon a full-time work schedule (2,080 hours per year). The sum of an applicant’s full-time and/or part-time qualifying work experience must meet or exceed the stated minimum qualification. Education will not substitute for the required work experience; however, related unpaid and/or volunteer work experience may be used as qualifying work experience.


Education:

Level I:
Requires high school diploma, GED or equivalent. Additional specialized clerical training is preferred.


Level II:

Requires high school diploma, GED, or equivalent supplemented by specialized administrative course work in general office and business practices. Associate degree from an accredited college or university is preferred.
The term “equivalent” means that directly related work experience exceeding the required work experience will substitute in equal time increments for college-level education, for example: one year of additional directly related work experience will substitute for one year of college education (30 credit hours).
