About this Position
Community MT helps Montana communities offer safe, efficient and quality public facilities, including streets, water and sewer services, schools, health care facilities and social services facilities, a vibrant economy and job opportunities.
The Administrative Assistant 3 is responsible for providing high quality customer service by greeting visitors, answering phones, and distributing division communications. This position is a critical member of the team providing administrative support to division staff across programs with a focus on the Community Development Block Grant Program. This includes organizing files and information, maintaining records, conducting research, drafting correspondence, scheduling and coordinating meetings, and maintaining office supplies and equipment. This position also provides occasional support to other divisions, primarily the Director’s Office, greeting and announcing visitors and disseminating incoming mail.
- This position allows for a hybrid work schedule from a remote location within the State of Montana. Weekly travel to Helena offices will be required. Specific conditions will be outlined as part of the job offer and must adhere to state policy. New Employees may be required to complete training in person before hybrid work schedules begin.

What are we looking for?
Education and Experience:
- A High School diploma or equivalency; and
- 2+ years of experience performing a variety of office support or clerical work; or
- Alternate combinations of education and experience will be considered on a case-by-case basis.
Competencies:
Knowledge of:
- Customer service standards
- Office administration practices and techniques
- Spelling, grammar, formatting, and composition
- Microsoft Office (Word, Excel, Teams, Power Point)
- Cloud-based systems (One Drive, Service Now)
Ability to:
- Establish and maintain effective working relationships with department staff and the public
- Communicate effectively verbally and in writing
- Compose, prepare, edit, and proofread correspondence
- Design and maintain records management systems
- Provide administrative support for division programs with a focus on the Community Development Block Grant Program, which includes scheduling and coordinating meetings, preparing materials and reports, maintaining records, and conducting research
- Maintain and troubleshoot basic office equipment
- Juggle competing priorities
