Primary objective
Provide administrative support, including dissemination and monitoring of project materials and documents associated with the
development and review of operational policies, and coordination and facilitation of priority projects for the Policy and Operational
Support Unit.
Context Statement
The position supports NTCS’ response to emerging needs and anticipates policy requirements to ensure the division meets its
strategic and operational obligations and is compliant with the Correctional Services Act and government direction for Correctional
Services.
Key duties and responsibilities
1. Monitor the timely preparation of information for the Policy and Operations Unit, including meeting tight timeframes, and
quality control of materials for review by the Manager and Director, amending as necessary for accuracy, content and the
appropriate standards.
2. Provide secretarial and administrative support including collating responses from consultative processes, preparing for
meetings, writing briefing notes, agendas and meeting papers, IT and email prioritisation and coordination.
3. Coordinate and compile reports and correspondence, undertake research and provide other project assistance to the Manager
and Director.
4. Coordinate workflow and timely reporting between the Policy and Operations Unit and other executives and stakeholders.
5. Maintain a register of polices, directives and related documents to meet governance and reporting requirements.
6. Support the Policy and Operational Support unit to achieve its objectives and work program.
Selection criteria
Essential
1. Demonstrated administrative support experience and organisational skills, including tracking and managing work deadlines,
managing information and successfully working with minimal supervision.
2. Demonstrated initiative and proactivity including an ability to anticipate, work independently and flexibly to complete
competing tasks within required timeframes.
3. Demonstrated high level contemporary oral and written communication skills and problem solving skills, with the ability to
exercise discretion, initiative, flexibility and confidentiality.
4. Highly developed skills in contemporary Information technology packages (i.e. Microsoft office packages) and business related
computer systems including spreadsheets, databases, email and records management, as well as the ability to extract
information and reports.
5. Proven ability to develop and retain professional working relationships with internal and external stakeholders.
Desirable
1. Previous experience using NT Government IT systems such as TRM.
2. Knowledge of the issues, priorities, operations and structure of Northern Territory Correctional Services
Further Information
Northern Territory Correctional Services has a Smoke Free Policy. Staff are not permitted to smoke anywhere on NTCS premises,
