Primary objective
Provide high level ministerial services and advice and assist across the Office of the Chief Executive with the coordination of strategic
priorities and delivery of administrative support in a range of areas including reporting, secretariat service, quality assurance and
communications.
Context Statement
Department of Corporate and Digital Development (DCDD) provides information and technology services and shared corporate services
to support NT Government agencies; and provides services to NT public sector organisations, the business community, and businesses
that tender and supply to government. The Executive Services team is within the Office of the Chief Executive business unit, providing
secretariat and executive support, management of ministerial and cabinet processes, coordinates strategic reporting and intra-agency
meetings and manages Agency business operations. The team has a strong customer service focus, manages competing deadlines, and
staff may be required to vary work hours.
Key duties and responsibilities
1. Provide advice and guidance to department staff on protocols, procedures and appropriate standards relating to ministerial practices,
secretariat, and executive services functions.
2. Assist the Assistant Director Executive Services in the coordination of ministerial briefs, Cabinet submissions, reports, papers,
Estimates Committee, Legislative Assembly sittings and other related requests.
3. Maintain effective, timely and professional communication between the department, the Minister’s Office, Cabinet Office and other
government agencies.
4. Undertake and assist with research and projects as directed by the Manager and Director Executive Services that may require
coordination of whole of agency and/or external parties, including reporting requirements.
5. Assist with the organisation of meetings, events and forums, and coordination of briefs and papers for Executive, agency, ministerial
and national meetings.
6. Extract, analyse and investigate data to assist in meeting the department’s executive reporting obligations, including updating relevant
databases such as Government Boards and Committees, Cabinet Decision Implementation Reporting and Election Commitments.
Selection criteria
Essential
1. Well-developed knowledge and understanding of Parliamentary, Cabinet and Government processes or the ability to quickly acquire,
with the ability to provide effective, professional advice in relation to procedures, requirements, and protocols.
2. High level written communication skills and attention to detail with the ability to prepare and proof written documents, reports and
correspondence and present information in a logical and meaningful manner to a wide range of audiences.
3. Demonstrated personal drive and experience working in a high-level executive environment, with the ability to time manage under
pressure and respond to changing priorities and meet project deadlines.
4. High standards of integrity with demonstrated experience in handling confidential and sensitive matters with discretion.
5. Experience supporting and coordinating projects, including the ability to conduct research and analysis, establish systems and
processes, and demonstrated strong planning skills.
6. Demonstrated work ethic and attitude which emulates DCDD values of being professional, accountable, honest, innovative, and
respectful.
Desirable
1. Recent experience in an NTG Secretariat or Ministerial Liaison role and/or working knowledge of DCDD’s functions and policies.
2. Ability to work extended hours if required.
