```Job Overview``` We are seeking a talented and integrity-driven Administrative Manager to join our team. As an Administrative Manager, you will play a critical role in ensuring smooth daily operations supporting various departments and acting as a key liaison between the Council and external partners. The candidate must demonstrate strong organizational skills, a keen attention to detail, and a commitment to the values and mission of the New Mexico Black Leadership Council. Your responsibilities will include providing administrative management of communications, documentation, events, and finances of our facility and programs by maintaining electronic and paper files and documents, providing knowledgeable customer service, and preparing disbursements and funding documentation. The ideal candidate is proactive, efficient, and possesses excellent organizational skills. ```Key Responsibilities``` - Perform general administrative duties including greeting customers, answering phone calls, monitoring email accounts, calendars, and coordinating meetings. Provide exceptional customer support by screening requests, addressing inquiries and resolving issues through established procedures and protocols. - Manage and maintain inventory, office supplies, and purchase requests. Assist with ordering supplies and coordinating requests. Oversee and coordinate facility access, maintenance, and security. Report and resolve any issues in a timely manner according to guidelines. Ensure facility and equipment is well maintained and presentable for guests. - Developing, updating, and managing processes to ensure seamless workflow in preparation and distribution of correspondence, documentation, and reports including incoming mail, required reporting, and filings. Ensuring smooth and adequate flow of information within the organization and with external stakeholders. - Updating and compliance of established procedures and protocols to organize and maintain physical and electronic files using Internet Technologies and systematic resources. - Assist with proofreading and editing documents for accuracy and branding - Coordinate with the NMBLC Executive Team to ensure all onboarding materials are prepared and accessible. Assist with the onboarding and exit process for new hires, volunteers, and community members. - Assist with routine accounting processes and ensuring compliance with regulations, requirements, and procedures for disbursements and invoicing. - Analyze data and processes for improvement and effectiveness. Providing feedback and reports to Executive Team. ```Qualifications``` - Previous experience in an administrative role - Proficient computer skills, including knowledge of Google Workspace and Zoom - Strong organizational skills with the ability to prioritize tasks effectively - Excellent written and verbal communication skills - Attention to detail and accuracy - Ability to handle sensitive information and situations with confidentiality and tact - Experience in a non-profit office setting is preferred This is an exciting opportunity for someone looking to contribute to a dynamic team in a growing local organization.
