We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, ensuring efficient office management, and providing exceptional customer service. This position requires strong organizational skills, computer literacy, and the ability to multitask effectively in a fast-paced environment.
Duties Administrative Support:
Assist the Office Manager with general office management tasks, including but not limited to filing, document management, and scheduling.
Handle correspondence, phone calls, and emails in a professional manner, routing inquiries to appropriate parties as necessary.
Maintain and update office records, files, and databases with a high degree of accuracy.
Prepare reports, presentations, and meeting materials as needed.
Order and manage office supplies inventory, ensuring the office operates smoothly.
Human Resources Liaison:
Serve as a point of contact for HR-related queries, policies, and procedures within the office.
Assist in the onboarding process for new hires, including preparing orientation materials and coordinating new employee training.
Support payroll, timekeeping, and benefits administration tasks, ensuring compliance with company and legal requirements.
Maintain employee records and confidentiality of sensitive HR information.
Assist with the coordination of staff meetings, trainings, and other HR-related events.
Office Coordination:
Schedule and coordinate internal and external meetings, including room reservations, technology setup, and agenda distribution.
Ensure a professional and welcoming atmosphere in the office by maintaining cleanliness and organization.
Facilitate communication between departments and provide general administrative support as needed.
Assist with travel arrangements, event planning, and other special projects as directed by the Office Manager.
Requirements
High school diploma or equivalent; an associate's degree or higher preferred.
2+ years of experience in an administrative or HR support role, preferably within a law firm or professional services environment.
Strong organizational and time-management skills with the ability to handle multiple priorities and meet deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other office management software.
Excellent verbal and written communication skills.
High degree of discretion and ability to handle sensitive information with confidentiality.
Professional demeanor with a client-service orientation.
