Role Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, ensuring efficient office management, and providing exceptional customer service. This position requires strong organizational skills, computer literacy, and the ability to multitask effectively in a fast-paced environment.

Duties
Administrative Support:
  • Assist the Office Manager with general office management tasks, including but not limited to filing, document management, and scheduling.
  • Handle correspondence, phone calls, and emails in a professional manner, routing inquiries to appropriate parties as necessary.
  • Maintain and update office records, files, and databases with a high degree of accuracy.
  • Prepare reports, presentations, and meeting materials as needed.
  • Order and manage office supplies inventory, ensuring the office operates smoothly.
Human Resources Liaison:
  • Serve as a point of contact for HR-related queries, policies, and procedures within the office.
  • Assist in the onboarding process for new hires, including preparing orientation materials and coordinating new employee training.
  • Support payroll, timekeeping, and benefits administration tasks, ensuring compliance with company and legal requirements.
  • Maintain employee records and confidentiality of sensitive HR information.
  • Assist with the coordination of staff meetings, trainings, and other HR-related events.
Office Coordination:
  • Schedule and coordinate internal and external meetings, including room reservations, technology setup, and agenda distribution.
  • Ensure a professional and welcoming atmosphere in the office by maintaining cleanliness and organization.
  • Facilitate communication between departments and provide general administrative support as needed.
  • Assist with travel arrangements, event planning, and other special projects as directed by the Office Manager.
Requirements
  • High school diploma or equivalent; an associate's degree or higher preferred.
  • 2+ years of experience in an administrative or HR support role, preferably within a law firm or professional services environment.
  • Strong organizational and time-management skills with the ability to handle multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other office management software.
  • Excellent verbal and written communication skills.
  • High degree of discretion and ability to handle sensitive information with confidentiality.
  • Professional demeanor with a client-service orientation.
