We are seeking a highly organized and detail-oriented Administrative Assistant to join our HVAC service department. This role will provide essential support to the department and may also include some responsibilities of a Service Coordinator. The ideal candidate will be proactive, possess strong communication skills, and be able to manage multiple tasks efficiently. Key Responsibilities: Administrative Support:
Answer and direct phone calls, take messages, and handle inquiries in a timely and professional manner.
Manage office correspondence, including emails, memos, and reports.
Maintain and organize department files, records, and documentation.
Assist with scheduling and coordinating meetings, appointments, and department activities.
Prepare and process invoices, purchase orders, and other financial documents
Service Coordination:
Assist in scheduling and dispatching HVAC technicians for service calls and maintenance.
Monitor and update service tickets, ensuring timely completion and customer satisfaction.
Communicate with customers regarding service appointments, follow-ups, and general inquiries.
Coordinate parts and equipment orders with vendors, ensuring timely delivery for service jobs.
Maintain an up-to-date database of customer information and service history.
Qualifications:
Proven experience in an administrative role, preferably within the HVAC or construction industry.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent communication skills, both written and verbal.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using scheduling and database software.
Ability to work independently and as part of a team in a fast-paced environment.
Customer service-oriented with a focus on achieving high levels of customer satisfaction.
