Homefull is a non-profit addressing the needs of people who are at risk of or experiencing homelessness or are formerly homeless. Our focus is addressing housing, food, and jobs in order to help stabilize people and prevent a return to homelessness. Homefull’s mission is delivered through a variety of programs, services, and initiatives. Homefull is looking for someone who is detail-oriented, has a strong sensitivity to deadlines, multitasking ability, strong organizational and problem-solving skills. Must be flexible and open to changing priorities and needs.
Job Summary
The Administrative Assistant will provide administrative support to the agency and ensure efficient operations of the office through a variety of administrative duties and other tasks where needed. The Administrative Assistant will also assist in screening for potential prevention programs and, work with clients in completing prevention paperwork, and scheduling of appointments. The Administrative Assistant will also assist with other administrative tasks.
Summary of Essential Job Functions
The Administrative Assistant will be responsible for:

Being a primary administrative support to all of Homefull by:
- Managing office needs like supplies and deliveries,
- Compiling monthly procurement order for review/approval,
- Answers phone calls to the agency and directs callers to the appropriate personnel or assists in providing community resources to those looking for assistance,
- Greeting guests by answering the door to Homefull Headquarters,
- Monitoring and responding to the Online Chat,
- Assisting with administrative needs of the agency such as uploading staff documents, assist with candidate screening and scheduling of interviews.
- Prepares, processes, delivers and picks up mail. Assist with mailings,
- Coordinating all facility use of meeting spaces,
- Responsible for guest services and activities including catering needs,
- Organizing and tidying of the office,
- Assisting with donation input and acknowledgement in CRM system,
- Assisting with managing calendars,
- Completing reports as requested,
- Composing and preparing confidential correspondence,
- Maintaining confidentiality of sensitive documents and communications.
- Supporting staff by scanning documents, making copies, shredding paperwork when needed, etc.,
- Assist with delivering or picking up items needed for the office
- Other administrative, clerical, and project duties as needed,
This person will be part of a team that supports the programming and overall mission and vision of Homefull, helping the agency to be a high performing and a quality workplace.
Qualifications
Associate’s degree or higher or commensurate experience in a related field. 1-2 years of administrative experience strongly preferred, preferably in a nonprofit organization. Excellent oral and written communications skills, knowledge of Homefull’s services, proficient in data entry, excellent computer skills including but not limited to Word, Excel, Power Point, and Outlook. Current Driver License, insurance, and reliable vehicle.
