MAJOR FUNCTION: Ensure that the Fast Quality Management System based on ISO 9001 standard is complied and that all established standard procedures, guidelines, policies and work instructions are followed by all Fast Logistic sites/branches. He/She also assist the region in coming up with the best possible solutions in their operational performance by enhancing and developing systems and procedures, standardizing and benchmarking against best practices, performing operational systems and manpower audit. DUTIES AND RESPONSIBILITIES: 1. Consolidate and analyze Customer Complaints / Change Notices monthly to assess the current service quality of the branch and the region. Help concern departments in problem solving to resolve customer complaints/ change notices. Follow-up and ensure 100% closure of the customer complaints monthly. Prepare Customer Complaints / change notice analysis, reflecting recurring complaints. 1. Consolidate quality incidences and ensure that all quality incidences and non-conformities are issued with Corrective Action Report (CAR). Help concern departments in problem solving to resolve non-conformity. Follow-up and ensure 100% closure of all CAR. Prepare Customer Complaints Analysis, reflecting recurring non-conformity. 2. Conduct Internal Quality Assessment and Audit to assess the performance and practice of site / branch warehouses and 3PL and to recommend improvements in the warehouse and 3PL’s system and procedures. GWP/GTP is conducted monthly on each warehouse or as requested by the Department Head. Prepare a GWP/GTP Report to recommend improvements on the warehouse and 3PL structure and procedures. Ensure closure of assessment/ audit findings. 1. Conduct an operational audit (process verification) on each department’s system and procedures to evaluate operational efficiency and efficacy. Operational audit is conducted annually on each department’s system and procedures. Prepare an Operational Audit Report to recommend improvements on the department’s systems and procedures. Operational audit report recommending improvements is available after conducting an operational audit to a particular department. 2. Develop Standard Procedures or work instructions for each department through documentation of Master Operating Plans, Procedures, Policies, Flowcharts, and Forms. Revise Standard Procedures or work instructions on the improvements implemented as a result of the Operational and Manpower Audit. Availability of the revised Manual based on the improvements implemented as a result of the operational audit. 3. Prepares QMS Reports ( weekly and Monthly and other required reports) on-time and accurately. 100% On-time Submission of QMS Reports. 4. Performs related functions for ISO 9001 (Quality Management Systems) compliance and certification. Assigned documentation requirements for ISO compliance and certification are completed within the agreed time lines. 5. Document Management Officer - responsible in document and records management, registration controls, distribution and filing of all documents and shall ensure that there is timely registration and distribution of documents as received from various departments, sites and areas.
