Faculty Operations Coordinator(Abuja)
Job Title: Faculty Operations Coordinator Location: Abuja Job Type: Hybrid JOB OVERVIEW The role holder will oversee all faculty relation activities. The primary objective of the role is to support the Dean in any capacity required and interface with and manage the interests of guests and in-house faculty in alignment with the organisation's corporate values, program and policy framework. The Faculty Coordinator manages and guides the production and timely availability of materials across program lectures, notes/presentations, recordings, and additional resource material. In addition to Faculty resource management, the role holder is the primary line of contact between the guest and inhouse teaching faculty, Student Liaison and management of the organisation. The incumbent may be required to work weekends or extra hours during peak season or busy periods. JOB PURPOSE 1. Support the activities of the Faculty and oversee the execution of academic programs in line with the school's objectives. 2. Work closely with faculty members to ensure effective teaching methodologies and curriculum alignment, address faculty concerns and provide professional development opportunities. 3. Act as the primary point of contact for all Faculty-related affairs and serve as a liaison between faculty, administration, and external stakeholders. 4. To develop and maintain effective communication, collaboration, and a commitment to continuous improvement are key to successfully fulfilling these responsibilities. Regularly assess the effectiveness of your strategies and adapt as needed to meet the evolving needs of the student body and faculty. KEY RESPONSIBILITIES
Support the Dean in the design of operating procedures across key functional areas. o Build and maintain a robust database of current and potential faculty across all subject areas. o Facilitate the design and implementation of a robust faculty onboarding process.
Ensure that formal invitation and appreciation letters are issued to all faculty.
Ensure meaningful performance evaluations of faculty and staff are regularly conducted.
Enhance a culture of collaboration to include meaningful engagement with faculty, staff and student liaison, Admission and Fix Politic Group.
Conduct regular and meaningful consultation, dialogue and engagement with faculty, students, and Student Liaison Team.
Support periodic review of the curriculum to ensure that contents are aligned with the objective of the school and have a national context and relevance
Contribute to improving the retention rate and reduce attrition to no more than 10% per cohort.
Recruit and onboard class coordinators for all classes
Engage class coordinators for general feedback, and maintain a tracking system for all feedback received.
Ensure all learning materials, including assignments and course work from facilitators are timely distributed to SLO and Technical team and responses are collated and made available to Facilities by the agreed-upon date.
Plan lecture schedule with confirmed date and facilitator for all courses. Ensure facilitators are adequately notified of their schedule, reminders are sent, lecture coordinators are assigned and communicated to facilitators, coordinators provide adequate support to facilitators, appreciation emails are sent at the end of every class, build a contingency plan around guest facilitators
Facilitate the development of a robust program calendar for each cohort.
In collaboration with SLO, design and execute multilocation in-person events to foster deeper student relations and enhance the organisational experience
Identify job roles, create hiring plans and participate in the recruiting and hiring process for faculty and staff.
Exemplify good governance by working closely with the management team and ensuring departmental adherence to internal policies.
Recommend internal policy reforms where needed, by concisely referencing relevant student and faculty feedback and consequential outcomes to management.
Ensure timely production of periodic and Adhoc department activity reports.
Provide Faculty Input to the monthly report for #Fix Politics Meeting.
Oversee department interns.
Constantly seek to enhance the overall student/participant experience of The organisation through continuous training recommendations for Faculty Staff.
REQUIRED COMPETENCIES Knowledge ● Expertise and knowledge of academic administration. ● Strong administrative skills, with the ability to manage a busy workload, prioritize work and meet tight deadlines. ● Excellent verbal and written communication skills. ● Strong command of the English Language. Experience: ● Minimum BSc. in Education, or other related areas. ● Masters in relevant fields will be an added advantage. ● Relevant professional certifications will be an added advantage. ● Minimum of 2-5 years of local or international work experience in the education and/or learning and development sector. ● Proficient in Microsoft Office Suite and other Communication Technology; knowledge of any Hybrid Learning Platform. ● Management of people including cross-cultural teams. ● Managing conflict. ● Strong understanding of political leadership, community organizing, governance Qualities: ● Flexible. ● Principled. ● Committed to making equal opportunities and diversity a reality. ● Committed and able to motivate others. ● Good political and cultural sensitivity and judgment. ● Interdisciplinary scholarly skills.
