Primary objective
Ensure the provision of a quality secretarial and administrative support service to the Executive Director Strategic Policy
Coordination.
Context statement
The Strategic Policy Coordination Division is newly established in the department and is responsible for leading and coordinating
strategic policy development and implementation, legislative change, strategic communication, evaluation and statistics for the
department. The Division comprises of five units which together services the whole department’s strategic policy, communication,
legislative reform and monitoring and evaluation needs.
Key duties and responsibilities
1. Provide high level secretarial and administrative support to the Executive Director of the Strategic Policy Coordination
Division.
2. Monitor all communication channels in and out of the Executive’s office, including email and dairy management, scheduling
meetings and travel arrangements.
3. Maintaining appropriate administrative systems, registers, processes, databases and record management ensuring effective
and efficient workflows within the unit.
4. Managing a range of procurement functions including travel arrangements, purchasing and processing credit card transactions.
5. Supporting working groups, committees and for events/functions the work unit are involved with.
Selection criteria
Essential
1. Demonstrated experience providing administrative support to a senior leader or executive, including managing calendars,
scheduling meetings, handling correspondence and maintaining confidential files and records.
2. Proficient in the use of MS Office (Word, Excel, Outlook, Teams and Power Point) and record management systems with a
willingness to adopt new technology.
3. Well-developed professional, interpersonal and influencing skills with the ability to communicate (both written and verbally)
with a diverse group of stakeholders and build positive working relationships with other executives and staff.
4. Prior experience operating in a fast-paced environment with strong organisational and time management skills with the
flexibility to handle changing priorities and work independently with minimal supervision.
5. Attention to detail with ability to delegate and escalate issues, develop creative solutions and seek out positive improvements.
6. Experience in electronic document and file management using record management packages.
Desirable
1. Knowledge of Ministerial and Cabinet document preparation, and an understanding of Ministerial and Cabinet procedures and
processes, or ability to quickly acquire such skills.
2. Experience with TRM and Sharepoint would be an advantage.
