Full Job Description The Law Offices of Jose A. Palacio is looking for a highly skilled Legal Administrative Assistant to join our immigration & personal injury law firm. A candidate who speaks Spanish or Portuguese is strongly preferred. Duties will involve answering phone calls, routing calls, resolving client questions, scheduling appointments and assisting clients and attorneys of the firm. Our firm is a dynamic and respected Personal Injury and Immigration law firm in Connecticut and Florida (Immigration in Florida). We represent and defend our clients with the highest level of diligence and compassion. The successful candidate will mesh with the firm's culture and become an integral part of our success, mission, and continued growth. This position will collaborate with various internal departments to open, close and reactivate matters, generate inquiries and reports, track and enter time, prepare client bills, and respond to client billing inquiries, and complete submissions for expense reimbursements and check requests. Responsibilities include providing high level administrative support to our immigration department; answering phones and liaising with clients; scheduling meetings and related meeting logistics such as drafting of agenda and minutes; assisting with invoicing and maintaining on-line billing info; understanding basic US immigration terminology and procedures, entering data on case & document management systems; docketing and tracking case deadlines; opening mail and entering critical information into multiple systems; finalizing detailed submissions to be sent to the Immigration Service; preparing expense reimbursement reports; and assisting with business development/marketing activities. Additional responsibilities include managing and organizing the attorney’s practice, including calendar management, scheduling travel arrangements, preparing correspondence and completing special projects as assigned. Immigration experience is not required. Candidates must be detail-oriented, have excellent administrative, written and verbal cross-cultural communication skills; be a self-starter and have the ability to work independently; embrace technology changes; be resourceful and maximize tools to perform job duties efficiently; must be a team player; and, possess a strong interest in working with immigrants. Candidates must have advanced skills in Microsoft Software programs, specifically in Outlook, Power Point, Word, Excel, and data management databases, have excellent grammar with high-level organizational skills and attention to detail. Experience with Zoom, Microsoft TEAMS and other similar communication platforms preferred. Spanish fluency (written and verbal) preferred but not required, and BA degree is a plus. Schedule:
