Responsibilities: An employee in this position is responsible for performing a variety of routine purchasing tasks to guarantee that all preparation for departmental competitive quotes, bids, and requests for proposal are prepared following prescribed guidelines. Obtains prices and quotations of a wide range of materials, supplies and equipment and works in collaboration with vendors to ensure that the orders are in compliance with agreed upon terms. The work is performed under the general supervision with leeway allowed for the exercise of independent judgment and initiative in work methods. Review purchase requisitions and prepare purchase orders. Prepare detailed purchase specifications for items put to quote or bid and posts such to an electronic bidder's registration system. May correspond with vendors and departments to gain information and to solve any problems concerning materials ordered, invoices, contracts, deliveries, substitutions, price quotations and other general inquiries. Follow up on contracts awarded. Maintain electronic database (Banner Document Management) records and files and compile detailed information for reports as needed. Advertise for price quotes, review price quotes and information on quality of vendors' goods and services and make recommendations to the ordering department on which vendor should be awarded the contract. Conduct routine research on vendors by consulting with others who might have knowledge of the quality of the vendor's goods or the financial status of the vendor. Research New York State contracts and commodity information via the internet; become familiar with New York State Municipal Law; assist with college BID and RFP process.
Job Requirements: Experience Required: Graduation from high school or possession of a high school equivalency diploma and two years of office clerical experience which shall have included keyboarding.
Experience Preferred: Strong interpersonal and communication skills, computer/technology experience. Ability to multitask, work independently and follow directions. Highly organized, attentive to detail. Bi-lingual preferred, but not required. Ability to work in a fast-paced environment. Hours: Monday - Friday, 8:30AM - 4:30PM, (40 hours per week - one hour lunch). Hours may vary based on department needs. May require travel to the Newburgh campus.
