South Puget Sound Community College (SPSCC) seeks a highly motivated and qualified individual for the position of Fiscal Specialist 2 - Student Life. This position provides fiscal support to Student Life and Athletic Department programs and services.

What You'll Do
The Fiscal Specialist 2 provides fiscal support using independent judgment in the interpretation and application of a variety of rules and procedures in specialized fiscal functions. This includes processing and advanced troubleshooting transactions related to invoice vouchers, purchase requests, travel authorizations and related work.

Essential Function: Provide fiscal support to Student Life and Athletics programs.
Tasks include:

  • Develop budget estimates, monitor, reconcile, initiate and control budget expenditures for all S&A Fee funded programs.
  • Prepare monthly budget status reports and inform Dean, Director of Student Life, and Director of Athletics regarding budget status and advise of areas of concern. Initiate corrective action as needed.
  • Reconcile and monitor all S&A Fee funded program budgets applying appropriate coding.
  • Create and maintain spreadsheets and databases, e.g. inventory and budgets.
  • Monitor budget statements to track expenditures and reconcile discrepancies.
  • Monitor, reconcile, and manage check out and expenditure reporting processes for Student Life and Athletics Purchasing cards.
  • Provide fiscal support to ASB Officers, student clubs, and all S&A Fee budget recipients regarding student travel, contingency fund proposals, and S&A Fee and Athletics program account purchases.
  • Prepare and review expenditures for purchasing and financial documents for accuracy.
  • Collect, record, and deposit revenue for Student Life and Athletics budgets.
  • Provide fiscal and clerical support to the S&A Fee budget development process.
  • Interprets and applies policies related to the ASB Financial Code, ASB Constitution and Bylaws, Club Handbook, and other applicable SPSCC/state policies.
  • Ensure timely payments are made to third party vendors to include preparing Purchase Requests, monitoring/tracking vendor payments, invoices, communication with vendors, and payments completed to all vendors.
  • Will complete tasks associated with fiscal documentation, purchases, contracts, budget tracking, reconciliation, and reports for the college housing program budgets. Apply housing fees to student accounts, prepare annual housing expenditure reports, and other tasks associated with housing fee payments.
  • Will prepare, monitor, track, and reconcile grant program budgets, p-card logs, and reconciliation for all grant funded Student Life programs. Provide for timely purchasing of grant funded services and inventory needs.
  • Will prepare fiscal documentation, purchases, monitor, track, and reconcile the Clipper Café Operations budget revenue and expenditures.
  • Provide fiscal support to international study abroad programs. Will prepare p-card logs, travel documents, and expenditure documentation for study abroad programs.

Essential Function: Support to student programs on behalf of Student Life and Athletics.
Tasks include:
  • Effectively communicate and provide fiscal training pertaining to financial processes with S&A Fees at student club meetings, club orientations, club roundtable meetings, Athletic department meetings, and other related needs.
  • Provide support and advise all student programs regarding purchasing, fundraising, travel, and other documentation.
  • Work closely with ASB officers related to student club expenditures and fiscal processes.
  • Assist with major campus events such as Welcome Weeks, Club Fairs, and Graduation.
  • Assist with Student Life and Athletics events and activities when needed; may include evenings and weekends.
  • Work as a team member on a wide variety of tasks and projects.
  • Coordinate all travel arrangements for Student Life activities and Athletics.
  • Prepare, audit, and process Student Life documents and forms.

Duty: Provide clerical support to the Student Life and Athletics departments.
Tasks include:
  • Provide administrative support to the Dean of Student Engagement & Retention, including schedule meetings, calendar management, travel arrangements, purchasing, contracts, and reimbursements.
  • Provide clerical support to the Director of Student Life and Director of Athletics. This includes, but not limited to: creating forms, reserve space for workshops and events, verifying accuracy of documents, and other clerical duties as needed.
  • Prepare, proof, and edit reports, correspondence, contracts and other documents as requested. Maintain accurate and organized filing systems and ensure filing is up to date.
  • Work with other college departments such as the Business Office, Facilities, Information Technology and others to ensure accurate and timely procurement of materials and services.
  • Record, distribute, and maintain meeting minutes for program committees and other meetings as requested.
  • Utilize Microsoft Office Suite to create documents and presentations.
  • Gather appropriate data and information for Student Life and Athletics reports, forms, and other documents to include the Northwest Athletic Conference (NWAC) Grant-in-Aid and Equity in Athletics Disclosure Act.
  • Assist Dean with clerical functions related to onboarding new departmental staff.
  • Maintain appropriate confidentiality.

Duty: Serve as support staff for the Student Life and Athletics Department.
Tasks include:
  • Respond appropriately and timely to inquiries regarding fiscal processes, purchasing, and all services provided by the Office of Student Life and Athletic Department.
  • Communicate effectively verbally, in writing; appropriately answer phones and respond to email and all correspondence.
  • Serve on college committees and external committees as requested.
  • Build and maintain relationships with faculty, staff, and students in a professional, courteous manner. Maintain good working relationships with other college departments and personnel.

Work Setting, including hazards/safety measures:
  • This position involves the use of a complex automated system for maintaining college accounting and budget records. The work involves a high degree of detail, largely involves numbers or strings of numbers/text, accuracy and thoroughness, evaluation of input and end result, dependability, and flexibility to changing work situations/workflow.
  • This position may perform in multiple settings, primarily in an office setting and will operate standard office equipment such as a personal computer, calculator, printer, copier, etc. The ability to work under pressure, meet deadlines and accommodate numerous interruptions while performing multiple tasks is essential; requires manual dexterity and mobility. This position may require moving boxes weighing approximately 40 pounds.


Qualifications You Possess

  • Two years of experience at a level equivalent to Fiscal Specialist 1 AND 15 quarter hours or 10 semesters hours of college level accounting OR equivalent education/experience.
  • Experience with reconciling statements and fiscal accounts.
  • Strong organizational skills, ability to work independently and prioritize multiple tasks, maintain confidentiality and accommodate numerous interruptions.
  • Position requires high degree of accuracy and attention to detail.
  • Excellent communication skills and the ability to work well with others and function as a team member.
  • Build and maintain positive relationships with faculty, staff, and students in a professional, courteous manner.
  • Advanced knowledge of computers and software applications, specifically MS Office suite: Word, Outlook, Excel, Power Point, and Access.
