Duties and Responsibilities
    • Manages, configures and maintains the organization’s electronic database of locks, keys, doors and hardware that are used to provision access to University Spaces.
    • Manages, configures, and maintains enterprise electronic access control software system(s).
    • Ensures all hardware related to the electronic access control system is functioning as intended (controllers, card readers, electrified strikes, request-to-exit devices, etc…);
    • Troubleshoots connectivity issues between doors, hardware and electronic access control system(s); Coordinates with external service providers to service, maintain or replace components as needed.
    • Evaluates requests for access to University spaces to ensure recommended solutions align with University policies and procedures.
    • Facilitates the review of unique access requests with all relevant stakeholder groups to determine if an exemption to University Policy is warranted; ensures documentation related to exemptions is captured in the system of record and communicated to all relevant stakeholder groups.
    • Coordinates with planning and space management staff to facilitate the movement of staff from one building or space to another where physical or electronic access control permissions vary.
    • Coordinates with project staff to ensure hardware specifications align with the enterprise access control system and physical master keying system requirements.
    • Coordinates with technical support staff to test enhancements to the University’s electronic database of locks, keys, doors and hardware and electronic access control system.
    • Coordinates with vendors to ensure contracted services are delivered in accordance with service level agreements (SLAs).
    • Develops and distributes reports that assist academic and operational units with access-related needs.
    • Identifies and prioritizes recommendations on improving access to University spaces; Presents recommendations to University leaders and decision makers
    Assists with the development and implementation of policies and procedures related to the access of University Spaces.
  • Assists with the development of response plans for lost and stolen keys or access cards.
  • Assists with scoping projects that improve the physical security of University Spaces
    Assists with inventory management efforts related to restricted lock and key products.

  • Participates in Owner-Architect-Contractor (OAC) meetings as needed on matters related to key administration.
  • Develops materials to educate faculty, staff and administrative leaders on best practices related to electronic access control and lock and key administration.
  • Other duties as assigned
Minimum Qualifications
  • Bachelor’s degree in Planning, Architecture, Construction Management, Business Administration, Hospitality Management, Security Management or a related field and 3 years of progressively responsible professional experience with responsibilities in the area of space management or access management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  • Considerable working knowledge of principles, practices and techniques in the field of space management or electronic access control systems as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with space management or electronic access control systems.
  • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
Desirable Qualifications
  • Familiarity with electronic access control systems
  • Familiarity with locks, keys and/or master keying systems
  • Ability to read construction drawings and interpret specifications related to door hardware
  • Familiarity with the UH Manoa Campus and/or UH System
  • Exposure to space management and planning at an institution of higher education
