Assistant to the Dean This position provides high-level administrative support to the Dean and to the Assistant Dean for Advancement for the of the BYU Marriott School of Business. This position requires strong organizational skills, emotional intelligence, strategic thinking, initiative and proactivity along with technical proficiency, adaptability and flexibility. There is a strong need for careful treatment of proprietary information and complex situations. This position reports directly to the Dean of the BYU Marriott School of Business and requires a high degree of professionalism, initiative, and diplomatic skill in representing the Dean's Office to internal and external constituents. What you'll do in this position:
Serve as the primary point of administrative contact for the Dean's Office, liaising with university offices and external entities.
Manage the Dean's calendar, scheduling meetings, appointments, and public engagements.
Plan and execute business travel arrangements, including logistics and expense reconciliation.
Draft Correspondence and manage communications with various stakeholders.
Organize the annual Dean's Strategy Retreat and other key events, coordinating logistics and team-building activities.
Supervise, train, and evaluate front-desk student employees, ensuring they represent the BYU Marriott School with professionalism.
Assist with hiring and training student TAs, prepare course materials, and support guest interactions for courses taught by the dean.
Contribute to the planning and execution of significant college events, including the annual NAC Fall Conference, Distinguished Alumni Achievement Award events, and BYU Marriott Convocation exercises.
What qualifies you for this role: Required
A firm commitment to the mission of BYU
Bachelor's degree and four years of administrative support experience, with at least two years of experience supporting a senior-level leader, or, six years of relevant administrative support experience with at least two years of senior-level leader support experience (without a bachelor's degree), or an equivalent combination of education and experience.
Maturity and good judgment in exercising discretion and professionally handling matters requiring confidentiality and sensitivity.
Proficiency with Microsoft Office (Word, Power Point, Excel, Outlook)
Excellent communication skills, including writing, editing, and proofreading skills.
Strong organizational skills, including a demonstrated ability to successfully manage multiple concurrent projects, to prioritize, and to manage workflow to meet deadlines.
Flexible availability as dictated by the needs of the dean, including the ability to respond to time sensitive requests even if they come outside of normal business hours.
Preferred
Bachelor's degree and four years of administrative support experience, with at least two years of experience supporting a senior-level leader.
Extensive knowledge of university organization, infrastructure, policies, procedures, key personnel, and university information systems.
Project management skills
Demonstrated ability to manage, mentor, and successfully utilize the capabilities of student employees by providing them with meaningful work assignments that will promote their professional growth.
