The Office of Vocational Rehabilitation empowers individuals with disabilities to maximize employment, achieve economic self-sufficiency and independence, and to contribute back to society. We also help businesses and employers recruit, retain and accommodate employees with disabilities.
We are seeking an Administrative Specialist to provide professional administrative support to internal staff and leadership related to an agency’s business operations. Performs duties involving general processes and procedures; and performs other duties as required.
Key Responsibilities:
- Cooperates and collaborates with assigned counselors and others if the need arises, to achieve goals.
- Prepares all necessary correspondence, reports, documents, and authorizations.
- Reviews, amends, and authorizes payment to vendors using appropriate budget, funding codes, and fee limits.
- Maintains consumer case information in the Case Management System (CMS).
- Assists in case progress from referral to closure via CMS and by monitoring case flow.
- Should questions arise from other assistants or consumers, will help to explain them in accordance with agency policy.
- Will assist with facilitating eligibility needs for counselors and management for all cases and the 60/90-day time frames for eligibility and Individualized Plan for Employment.
- Maintains case records in compliance with Federal and State Law.
- Assumes responsibility for and monitors the use of pro-card purchases.
- Submits requisitions for technology equipment and other equipment needed for consumers. Ensures confidentiality.
- Maintains professional communication with vendors, other employees, and partners.
- Generates reports consistently using CMS and other systems for counselors to ensure case compliance.
- Makes recommendations to counselors and management to avoid issues of non-compliance.
- Performs other duties as required.
This position will have access to confidential and sensitive information.
