Minimum Requirements
- Associate degree in Business or related field from an accredited educational institution.
- 3- years of full-time verifiable office experience.
- Proficiency in Microsoft Office Suite and Office 365 scheduling/email software.
- Excellent written communication skills are required for this position.
Preferred Requirements
- Experience in an educational organization, with post-secondary experience being preferred.
Primary Functions of Position
Purpose and Function:
The Administrative Assistant provides administrative, clerical, and technical support to the Dean of Healthcare and Public Safety and the Director of Nursing. This position will function mainly to support Nursing and Healthcare Training with other duties that assist Public Safety. This position maintains current general knowledge of appropriate college and departmental policies, processes, and procedures in an effort to ensure efficiency and integrity of the division. Participates in the coordination of special projects and events. To accomplish the objectives of the position, the Administrative Assistant performs the following functions:
Essential Duties:
Clerical Duties for Dean of Healthcare and Public Safety and Director of Nursing:
- Handles telephone calls and public contact with visitors, vendors, and faculty and staff members
- Performs routine clerical functions – Filing, scanning, recording and disposal of documents
- Processes and delivers internal and external mail for the division
- Monitors and responds to electronic mail - including the general Nursing email account
- Arranges meetings, conferences, and special events for the Dean of Healthcare and Public Safety and Director of Nursing
- Prepares agendas for various departmental meetings; coordinates and attends meetings as appropriate; prepares and distributes minutes to appropriate personnel
- Serves as recorder for appropriate meetings
- Screens calls/visitors and answers inquiries for the Dean of Healthcare and Public Safety and Director of Nursing; conducts research and responds to requests for information
- Handles confidential documents related to student and personnel issues; maintains confidentiality when handling all departmental business
- Assists with maintaining accuracy and compliance of a variety of permanent records
- Makes travel arrangements and reconciles P-Card for the Director of Nursing
- Assists Director of Nursing with maintaining accurate student program coding and registering students for beginning nursing courses
- Assists Director of Nursing in reviewing, making changes, and maintaining up-to-date and accurate program handbook, program webpages, student compliance tracking software, and specific forms/documents needed in Nursing
- Review nursing student immunization records initially and each month, contacts students for needed information, and notifies appropriate personnel with noncompliant findings
General Duties for Nursing and Healthcare Training Division:
- Serve as information point of service for students, staff, and community
- Verifies accuracy of all forms (travel, leave requests, purchase requests, schedule change, etc.) prior to forwarding for approvals; reconciles forms as appropriate
- Assists in the scheduling and planning of the annual budget process; tracks financial reporting requirements and budget calendars; assists to reconcile accounts if needed
- Ensures accuracy of budget requests including coding requisitions to the appropriate budget line item. Works closely with departments to maintain a balanced budget
- Prepares part-time contracts for Nursing and Healthcare Training curriculum employees
- Initiates requisitions and enters approved purchase requests in e-Procurement, Ellucian, or by using the college Purchase Card (P-Card) for office supplies, instructional materials, or other necessary items for departmental operation
- Works with departmental instructors to review and determine current and needed lab supplies; initiates purchase requisitions and orders approved supplies
- Research student data and prepares documents and reports utilized to make decisions for division improvement and growth using Ellucian, Watermark, Self-Service, Etreive, and other platforms – this will include, but not be limited to, data and reporting for the North Carolina Board of Nursing and all accreditation bodies
- Assists in Nursing Programs admissions processes by collecting and processing applications for committee review and notifying applicants of decisions by set deadlines
- Assists and participates in special college functions for the division, professional development activities, and other areas on campus as needed
- Other duties as assigned
