Administrative Assistant Clinical Programs, Anchorage Administrative Office, Full Time Non Exempt, On Site, Anchorage Alaska


Position Summary:
Under the direction of the Director of Operations, with collaboration from the Chief Behavioral Health Officer, provide direct support to Akeela’s clinical programs and administration.

Principle Duties and Responsibilities Clinical:
Maintain and distribute clinical records according to Akeela Policy & Procedure, Joint Commission, and the Alaska Department of Behavioral Health.
Assist clinical departments with AKAIMS, Relias, and Docu Sign.
Prepare clinical department meetings including meeting agendas/minutes, trainings, food ordering, notifications/emails, electronic media upload and paper material packets as required.
Requisition clinical training materials and office supplies as needed for clinical programs, administration operations, and special projects.
Coordinate Consumer Advisory Board meetings and activities.
Coordinate travel arrangements for clinical staff, with follow-up to the Chief Behavioral Health Officer, and Finance Dept.

Principle Duties and Responsibilities Administrative:
Provide Backup Support for Front Desk position:
  • Answer incoming phone calls, transfer to appropriate personnel, programs, or voice mail, greet visitors and take written messages.
  • Sort, open and distribute incoming mail, faxes, and organize outgoing mail.
  • Receive and receipt all monies mailed or delivered to Akeela.
Assist with conducting monthly inspections as required by licensing and accreditation organizations.
Assist in coordinating employee appreciation and acknowledgment initiatives and company events.
Keep the general building clean and well maintained to ensure optimal safety of staff and visitors.
Thorough knowledge of standard office procedures, including business correspondence.
Complete other duties as assigned in a timely and professional manner.
Essential Skills-Any Equivalent Combination of Knowledge, Skills, Abilities:
Must possess excellent professional telephone skills.
Computer literacy is a must, specifically MS Word, Excel and Outlook for Windows.
Must possess excellent oral and written communication skills.
Must possess excellent time management and organizational skills.
Must be able to prioritize workload.
Ability to work in a team setting cooperatively and effectively.
Ability to work with minimal supervision.
Ability to operate and maintain standard office equipment and environment.
Ability to edit, proof and prepare final error-free copy and ability to prioritize workload.

Education and Experience Requirements:
High school degree or equivalent required.
A minimum of three years progressive office work experience, or a minimum of four years comparable work experience.
Experience with Non-Profit and Behavioral Health Organizations is preferred.
Certified Administrative Assistant preferred.
