InFrame Project Coordinator

Job Purpose
Play a key role in the delivery of a 2-year, large-scale, multi-partner, strategic research culture enhancement project funded by Wellcome – In Frame Inclusive Framework for Collegial Research Leadership. Working within a cross-university partnership (Glasgow, Edinburgh & St Andrews), the post holders will support each partner university’s ambitions to foster a positive research culture. The role holder will support delivery of this project, and additionally share best practice in research culture enhancement for the development of a sector level approach. Working closely with the Research Culture Leads, Research culture communities and networks and project stakeholders across all three universities to ensure the seamless coordination of the project.
Main Duties and Responsibilities
1. Provide robust project coordination to support the In Frame project delivery and the delivery of projects, funded through the In Frame Culture Catalyst Fund (CCF).
2. Deliver excellent support to the In Frame CCF applicants in all aspects of project management including project timelines, project costings, and communication support. Develop local processes to support the projects and to reduce risk and ensure complementarity and cross-linking with university departments and the In Frame partners.
3. Provide pre- and post- award coordination of research culture focused projects to align with the themes and underpinning principles of the delivery framework. This includes but is not limited to: EDI, collaboration, and positive recognition of good practice.
4. Provide clear advice & guidance to projects funded by the In Frame initiative, the Culture Catalyst Fund, on project management approaches, funding criteria and timely delivery. Support Culture Catalyst projects through end to end project coordination to deliver within the scope of the In Frame project, managing & reporting on budgets and ensuring key milestones and deliverables are achieved within agreed timescales.
5. Contribute to a comprehensive communications strategy via Project Board Meetings, digital materials, events, and other creative and social media, ensuring that the project’s mission is shared, understood and supported.
6. Build and maintain active collaborative working relationships with all team members as part of a cross-university matrix team.
7. Develop and maintain strong personal internal and external networks to access intelligence and good practice from internal departments such as finance and HR to ensure delivery of the project is aligned with the University’s and funders’ strategic aims and requirements.
8. Working closely with the Project Manager and Finance Manager, maintain all project documentation and records to ensure data integrity. Provide management information and analysis to inform decision making. Identify project risks & opportunities, reporting to relevant stakeholders, and regularly update the progress of actions on behalf of team members and grant holders. Provide and coordinate contributions to status reports to stakeholders, including the funder.
9. Proactively identify, undertake, and share opportunities for ongoing professional development, both for yourself and for colleagues in the Project Team
10. Represent and champion the work and interests of the Project at meetings, external groups, conferences, and seminars to keep up to date with developments and gain and share across the team information/knowledge of best working practices in the higher education context.
11. Perform other duties as requested, consistent with the grade level of the position and agreeing appropriate prioritisation of work with line management or other relevant stakeholders as needed.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Either: Scottish Credit and Qualification Framework level 9 (Ordinary Degree, Scottish Vocational Qualification level 4) or equivalent, (including professional accreditation with relevant formal training). Experience of personal development in a similar or related roles. Or: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar or number of different role(s).
A2 A clear and up to date understanding of project management / coordination methodologies.
A3 A detailed understanding of grant application processes including costing & funder guidelines.
A4 Detailed knowledge & understanding of data integrity and its importance.
Desirable:
B1 Project Management qualification or equivalent experience.
B2 Clear understanding of contemporary discourse on university research culture.
B3 Knowledge of tools such as project management software, financial requests software, or other equivalent.
Skills
Essential:
C1 Project Management skills, including ability to coordinate multiple projects simultaneously.
C2 Highly developed IT Skills using Microsoft packages, data analysis software and project management software.
C3 Excellent communication and influencing skills, both written and oral with an ability to communicate effectively at all levels.
C4 Excellent interpersonal skills and the ability to establish effective relationships with (non-expert) staff and services both inside and outside the University, in particular to support development of new policies, services, and practices to support researchers.
C5 The organisational, planning, and administrative ability to support the delivery of multi-stakeholder projects.
C6 Ability to work collaboratively and responsibly as a member of various teams.
C7 Self-motivation and the ability to work independently with minimum supervision.
C8 Adaptability to work as an engaged team player who is cooperative, communicative and builds trust and the support of colleagues and partners through respectful collaboration and building consensus.
C9 Ability to assess risk and financial implications.
C10 Ability to interpret funder guidelines and governance.
Desirable:
D1 Report writing or providing significant input into project reports.
Experience
Essential:
E1 Experience of coordinating projects, involving multiple stakeholders across complex organsiations.
E2 Experience of managing timelines, budgets, and compliance, and producing reports for a range of stakeholder groups.
E3 Experience of processing, analysing and presenting complex data to a variety of audiences.
Desirable:
F1 Experience contributing to the conceptualisation, planning, implementation and monitoring of projects in a complex environment.
F2 Experience drafting procedures and processes to support project compliance.
Terms and Conditions
Salary will be Grade 7, £40,247 - £45,163 per annum.
This post is full time (35 hours) and fixed term for up to 2 years.
