Administrative Assistant - KHS Business Operations

Are you a detail-oriented professional eager to provide vital administrative support within the Faculty of Kinesiology & Health Studies, ensuring seamless delivery of programs and services? Join us as our new Administrative Assistant (term)!

This position is responsible for administrative support in the delivery of all programs and services offered by the Faculty of Kinesiology & Health Studies (KHS) Client Services, as well as back-up coverage for the Academic Services desk.

What You’ll Do:
  • Process memberships for non-credit areas; set up special user groups with appropriate membership plan; resolve issues; invoice special user groups;
  • Process financial transactions; reconcile cash; prepare cash transmittal’s;
  • Sell parking permits, athletic game or event tickets;
  • Update and maintain information and procedural manuals;
  • Receive, evaluate and respond to all incoming inquiries and requests;
  • Prepare and/or distribute relevant materials, information, communication and/or marketing material for all services;
  • Update, publish, and distribute the Summer Sports School brochure and all other course schedule information documents;
  • Assist with training and supervision of KHS Client Services staff members. As required, provide training to students who use the Active Net system;
  • Process locker renewals; perform clean outs; maintain locker records;
  • Update the annual season ticket database and related gym mapping; recommend and implement changes. Work with athletic staff on promotion of sport camps, season tickets, etc.;
  • Perform various system maintenance duties (i.e. merge duplicate IDs, batch various jobs, monitor alert text and deletions);
  • Order supplies and materials as required;
  • Work in KHS Business Operations team environment and assist or provide back-up as required.

Position Requirements
What You’ll Bring to this Position:
  • Grade 12 supplemented by the successful completion of a recognized business course
  • Minimum of three years of experience directly related to the duties.
  • An equivalent combination of education and experience may be considered.


Skills That Will Ensure Your Success in the Role:
  • Demonstrated experience in accounting and cash management principles and procedures is required including experience in financial reconciliation of accounts, invoicing, processing financial transactions, cash transmittals, cash registers, POS, and cash reconciliation;
  • Demonstrated knowledge of and skill in office practices, principles and procedures;
  • Demonstrated knowledge of and skill in the use of Microsoft Office software (Word and Excel) and Group Wise;
  • Must have demonstrated experience and skill in the Active Net software system. Equivalent experience in complex database systems may be considered;
  • Experience in the application of the University of Regina’s policies, standards and procedures related to KHS non-credit registration, memberships and facility bookings; or equivalent experience;
  • Demonstrated knowledge of the programs and services offered by the KHS is an asset;
  • Must have the ability to communicate effectively, both verbally and in writing. Ability to accurately create, compose and edit a variety of written/electronic material and types of documents;
  • Compiling and analyzing data and creating reports;
  • Proficiency in statistical reporting;
  • Experience in records management and tracking of information;
  • Demonstrated knowledge of appropriate methods to deal with confidential material;
  • Proven ability to meet competing deadlines and work within time constraints;
  • Demonstrated ability to organize multiple tasks, while maintaining accuracy and attention to detail, and to analyze complex problems;
  • Ability to make effective administrative/procedural decisions and recommendations;
  • Ability to deliver excellent customer service;
  • Ability to develop and maintain strong working relationships with faculty, staff and public clientele;
  • Ability to work as part of a team.
