REQUIRED IMMEDIATELY! Job Summary: We are seeking a reliable and organized Receptionist/Administrative Assistant to join our team. As the first point of contact for our office, you will play a crucial role in providing excellent customer service and administrative support. The ideal candidate will have experience in an office setting and possess strong organizational and communication skills. Professional appearance and dress are required for this position. Duties: - Greet and welcome visitors in a professional and friendly manner - First point of contact for internal and external clients - Answer and direct phone calls, taking messages as necessary - Perform data entry tasks accurately - Receipt and processing of payment for taxes, utilities, etc. (accounts receivable) - Provide general administrative support, such as scanning and photocopying documents - Records management and annual records disposition - Correspondence preparation - Manage incoming and outgoing mail, including sorting and distributing correspondence - Maintain office supplies inventory and place orders as needed - Prepare newsletters and assist with proofreading documents for accuracy and completeness - Handle customer inquiries and provide exceptional customer support - Website maintenance and population including weekly email blasts - Presentation preparation and research - Prepare tax searches and certificates - Back up for preparation of Council agendas and recording of minutes when needed - Provide support to all departments to ensure smooth office operations - Other tasks as directed Skills: - Business or Office Administration diploma (documentation required) - Previous experience as a receptionist or administrative assistant (3+ years required) - Proficient in using Office Suite (Word, Excel, Power Point, One Note) - Criminal record check (required) - Strong organizational skills with the ability to multitask and prioritize tasks effectively - Excellent phone etiquette and interpersonal skills - Attention to detail for accurate data entry and proofreading - Ability to maintain confidentiality of sensitive information - AP experience is a definite asset - Experience preparing meeting minutes preferred - Business attire is required.
