Student Services Manager

POSITION SUMMARY
The Student Services Manager at the Community Education Building (CEB) is responsible for
implementing the Student Advocacy System designed to promote the emotional, social, intellectual,
physical, and professional development of students attending school at the CEB. In this role, the
Student Services Manager will supervise, mentor and train Student Advocates. This is a full-time
position with full benefits and parking.

KEY ROLES AND RESPONSIBILITIES
The Student Services Manager’s key responsibilities include the following areas and may be changed
at any time based on the needs and initiatives:
SUPERVISORY RESPONSIBILITY
  • Supervise, model, coach, and mentor K-12 Student Advocates and Student Advocate Leads to ensure
a high-quality, grade level appropriate, and culturally sensitive student support program.
  • Review and support the development and ongoing evaluation of individualized growth plans for
each student research-based determinants of post-secondary and life readiness embedded Apricot and
Mastery.
  • Supervise CEB Library Staff
  • Periodically assess data collection activities to ensure proper tracking and reporting of data
to support KPI measurement.
  • Periodically review individual student progress to provide coaching and feedback to Student
Advocates.
  • Establish and maintain a robust and research backed professional development schedule for all
student services staff ensure delivery of exceptional, and data driven students and school supports.
  • Regularly Update the Student Services Playbook and score card.
STUDENT SERVICES COORDINATION AND OVERSIGHT
  • Build and maintain relationships with school staff, families, and community partners to create
and maintain a web of support and resources for students.
  • Manage the planning, implementation and evaluation of student serving programmatic
collaborations with external and internal partners or service providers.
  • Create and maintain a network of stakeholders to support student growth in all
competencies.
  • Serve as CEB Liaison to the CCHS School based health center.
  • Collect and analyze data to track program effectiveness and identify areas where additional
support is needed.
  • Ensure grant and other contractual expectations and program targets are met.
  • Collaborate as necessary with other site staff to promote student success.
  • Maintain statistical data related to Key Performance Indicators.
  • Supervise maintenance of accurate and confidential client files and data tracking using required
systems while complying with contractual expectations, ethical and legal standards of practice and
confidentiality, and HIPAA and FERPA requirements as appropriate.
  • Support the implementation of the Mastery Profile, ensuring that the profile is utilized with
integrity and fidelity.
  • Collaborate with colleagues within the organization to implement cross functional strategies and
initiatives.
  • Support the implementation and continuous improvement of the Apricot data system.
  • Oversee the planning and implementation of SAS field trips, special programs, and
events.
  • Ensure the consistent use of SAS tools and practices including Case conferencing practice,
Transitional Readiness Guide, Playbook, surveys, and resource guide in all work.
OST COORDINATION AND OVERSIGHT
  • Implement and/or support a menu of needs-driven, high-quality services in adherence with grant
requirements and timeline; including but not limited to Safe Passage program, CTE (Career Technical
Education) programs, expanded learning and enrichment opportunities, health services, and
interventions targeted to chronically absent, chronically tardy, and at-risk students,
  • Consult with FRC Family Navigators to support chronically absent and chronically tardy students.
  • Collaborate with the school library to enhance student and family engagement
opportunities.
  • Collaborate with school administration to integrate academic and non-academic support with
school priorities.
  • Help broker new partnerships that are aligned with school goals and needs.
  • Support the research and evaluation efforts by supervising and coordinating the collection of
statistical data including staff hours and student participation, ensuring timely submission of
reports, and responding to requests for information made by the initiative’s leadership.
  • Communicate effectively and professionally through presentations to small and large groups
within the school community and school system.
  • Independently answer routine questions and correspondence from parents, staff, students, and the
community that do not require the principal or supervisor’s attention.
  • Respond to parent concerns as appropriate.
  • Perform other duties as assigned.
  • Attend and contribute to cohort management meetings.
  • Oversee the enrollment process for all student supports ensuring compliance, consistency across
staff members, confidentiality, and alignment w/ school needs and fidelity to CEB service model.
DELIVERABLES
  • Completed and updated individualized growth plans for all students within 30 days
enrollment.
  • Monthly data reports demonstrating progress on KPIs, grant targets, contractual targets, and CEB
short- and long-term goals.
  • Student Services Playbook and scorecard reviewed and revised twice annually to align with
current goals and practices.
  • Accurate, confidential client files in compliance with HIPAA, FERPA, and internal policies.
  • Quarterly data reports on staff hours, student participation, and student growth plans.
  • Bi-monthly data reports submitted to team leader every quarter, identifying key areas for
improvement and adjustments in student services.
EDUCATION AND QUALIFICATIONS
  • Bachelor’s degree in business, social services, psychology, education, or related field
  • Advanced understanding of K-12 child development, childhood trauma, and supporting academic progress
  • Highly proficient with Office 365, Microsoft Word, and Excel, Monday.com, and Google Suite
  • Must be willing to work flexible hours when necessary.
  • Minimum 3 years’ supervisory experience preferred.
  • Minimum 3 years’ experience in child related field preferred
  • Bilingual Spanish/English- Preferred
  • Requires working within the school building and in the community depending on event
location.
  • Employment is dependent upon successful completion of a criminal background check, child
protection Registry Check, and initial onboarding training (Mandated Reporter, CPR & First Aid).
This is a full-time, on-site position. Limited remote or flexible work arrangements may be
available, based on business needs and at the organization’s discretion.
