Why does the job exist?
Secretarial staff are responsible for receptionist duties to the Juvenile Probation Office (answering phones, interacting with the public, and looking up information in database. Secretarial staff are also responsible for data entry of law enforcement police reports into the system
How does it get done?
This position will enter police reports received from law enforcement into the Family Automated Client Tracking System (FACTS) database. This position will also be responsible for sealing of youth records when necessary. This position will enter court paperwork into FACTS within one business day of receipt including detention/warrant arraignments. This position will scheduling Preliminary Inquiries, send out notices, answering telephone calls, directing clients and families. Manage informal/formal cases by creating files, completing dispositions and filing. Secretary will make daily contact with law enforcement agencies to pick up delinquency/ Family in Need of Services (FINS) reports. Secretary will be responsible for entering and assigning referrals to Juvenile Probation Officer (JPO)
Who are the customers?
This job services clients and their families and provide clerical support to the Juvenile Probation Officers, Supervisors, and Chief. In addition, this position will serve as a backup for the Administrative Assistant.

Minimum Qualification
High School diploma or equivalent and three (3) months of related experience in office administration. Any combination of education from an accredited college or university in a related field andor direct experience in this occupation totaling three (3) months may substitute for the required experience.
Employment Requirements
Must possess a valid Driver's License. Pre-employment criminal background check is required and conditional pending results.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Possible exposure to irate clients. Incumbent's duties will require frequent time constraints. Some statewide travel may be required. Computer use, long periods of sitting
