Receptionist (EKT)

PURPOSE
The receptionist manages the switchboard, receives guests, and provides special clerical suppo1t to Tribal Operations (TO) and Office of the President (OTP).
REPORTING RELATIONSHIPS
Reports To: Office of the President
Liaison To: NIA
ESSENTIAL FUNCTIONS
- Acts as primary reception for the Edward K. Thomas (EKT) building, receives and redirects all incoming calls, takes messages as necessary, and relays messages
- Receive visitors, guests, and clients at the EKT building; gives proper direction; uses tact and discretion in the degree and type of information given; maintains the reception area in an orderly and business like manner
- Maintain and update the bulletin boards at the EKT building
- Receives and distributes EKT building mail and maintains a log of certified, registered, and express mail
- Process outgoing mail daily
- Report telephone, and Xerox operating problems occurring with equipment in the EKT building to appropriate vendor or other service contractor
- Monitor vehicle reservations, sign in/out sheet, and mileage reports for the GSA vehicles assigned to the EKT building
- Responsible for cleaning kitchen and conference rooms daily, ensure adequate supply of cups,
condiments, and beverages
- Make coffee as needed
- Responsible for keeping upstairs and downstairs EKT storage rooms organized and tidy
- Maintain a storage record for downstairs storage room and follow the record retention policy
- Assist with typing assignments as requested
- Assist Finance and OTP with stuffing envelopes, filing and sorting
- Assist with Tribal Assembly as requested
- Perform other duties as assigned

NECESSARY SKILLS AND KNOWLEDGE
- Ability to triage and route telephone calls and visitors to proper Tlingit & Haida program staff
- Positive professional courteous attitude toward public and staff
- Able to perform and coordinate several jobs/projects at one time
- Excellent verbal and written communication skills
- Knowledge of standard office procedures and standards
- Knowledge and proficiency in current computer software programs
MINIMUM QUALIFICATIONS (education, experience, skills)
- High school diploma or equivalent
- Three years general experience in a clerical or related field
- Valid Alaska Driver's License
- Typing speed ofat least 50 WPM
UNUSUAL PHYSICAL REQUIREMENTS OR RESTRICTIONS
The majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs. Travel on small aircraft or ferry may be required.
