Position Summary: Greets, responds to, and properly routes or directs customers, employees, regulators, vendors and visitors by performing the following duties personally. Responsible for ensuring that all critical tasks are fulfilled on a timely basis. Critical Tasks:
Welcomes on-site visitors, determines nature of their business, and announces visitors to appropriate staff while ensuring that all visitors are responded to rapidly by staff members so notified.
Answers questions from all individuals who initiate contact with a clear, concise, thorough and professional style.
Ensures proper and dependable functioning of security and telecommunications systems by following manufacturer instructions.
Maintains and ensures the accuracy of employee and department staff directories for internal reference purposes.
Safeguards all confidential information including all information about patient medical conditions and locations.
Answers incoming telephone calls and determines purpose of callers, then forwards telephone calls to appropriate staff or department.
Takes and delivers messages or transfers calls to voice mail when appropriate staff are unavailable.
Answers questions about organization and provides callers with address, directions, and other information.
Monitors visitor access, issues visitor badges, and maintains visitor log books with high accuracy.
Updates appointment calendars.
Receives, sorts, and routes mail and internal publications.
Takes all steps necessary to prevent inappropriate or undesirable individuals from gaining access to interior facility locations.
Notifies authorities rapidly regarding any observed risks or safety subjects.
Assists other individuals with clerical and administrative duties as necessary.
Maintains a clean, neat, safe and visually pleasing reception and visitor area.
Remains highly organized and takes all steps necessary to enable immediate response to questions and requests.
Performs other special projects and duties as assigned.
Required Qualifications:
High school diploma or GED.
One to three years administrative or clerical experience, preferably within a health care environment.
Multi-tasking skills.
Refined verbal communication skills with superior vocabulary knowledge.
Demonstrated ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures.
Interest in medical subjects, patient services/care, and customer service.
Prior medical environment work experience is preferred.
