Position Summary:
The Manager of Campus Operations provides operational management of the Heritage College of Osteopathic Medicine’s (HCOM) Cleveland campus. This role includes leading the administrative support team, managing Cleveland’s administrative services, human resources (HR), compliance, and financial operations. Additionally, this position will oversee the Cleveland facility and information technology (IT) needs for the Cleveland campus. This position requires significant independent judgment to effectively manage daily operations.
Position Responsibilities:
1. Campus Operations
- Manages Cleveland campus operations including administrative support, HR, compliance, and financial operations. Responsible for understanding facilities and IT needs/scope and collaborating with facilities and IT teams to implement improvements/request resolutions.
- Develops, implements, and evaluates policies and procedures to improve efficiency and workflow, ensuring business continuity for Cleveland’s administrative services, human resources, compliance, and financial operations. Cultivates relationships with Cleveland campus leadership, faculty, and staff to understand operational needs, mission, and direction.
- Manages HR processes specific to the Cleveland HCOM campus for all Cleveland faculty, staff, and student hires to ensure compliance with Cleveland Clinic requirements, such as orchestration of required medical tests, online training modules, and student attestation for background checks and immunizations. Creates, analyzes, and implements standard operating procedures for Cleveland campus HR operations.
- Partners with HCOM Cleveland IT staff to provide IT services and strategic IT updates for Cleveland campus. Develops and maintains request process to ensure continuity of technology in HCOM’s multi-campus environment.
- Creates and distributes campus safety information in consultation with Cleveland and University partners. Creates and maintains emergency response protocols and testing schedules as required by University policy.
- Serves on various college committees, as applicable.
2. Financial Operations
- Develops, implements, and evaluates financial policies and procedures. Plans, forecasts, prepares, and manages $13M budget for the Cleveland campus in consultation with senior leadership. Analyzes financial data, creates reports and presentations, and delivers regular financial updates to Cleveland and University leaders. Oversees internal billing process for shared services.
- Serves as a subject matter expert on financial policies and procedures and as a liaison to University on Cleveland financial operations. Provides guidance to staff on financial operations, policies, and procedures.
- Oversight of high-value inventory process for medical equipment and related items.
3. Supervision
- Manages one full-time ASFCME 3200 administrative support employee, including hiring, planning, assigning tasks, and overseeing work to ensure quality standards. Responsible for training and development, performance management, and issuing corrective action when appropriate, including managing terminations when necessary.
4. Project and Program Management
- Responsible for program management of Aspiring DOctors Precollege High School pipeline program in collaboration with HCOM Cleveland Administration and other HCOM stakeholders.
- Manages Cleveland campus special/strategic projects and initiatives. Serves as a project/program manager; responsible for all stages of project planning and implementation, including project coordination, communication, scheduling, and budget management.
