HR and Safety Administrative Assistant


The position of HR and Safety Administrative Assistant is of great significance to Valley Wide Cooperative. A person in this position reports to the Human Resources Manager and assists the Safety Department as necessary. The HR and Safety Administrative Assistant will perform administrative support as well as provide customer service and communication needs.


Job Summary:

These are the basic requirements of the position and must be performed competently.
  • Must be willing to follow specific instructions.
  • Provide and build strong working relationship with employees.
  • Be able to track and monitor working progress of employee training programs.
  • Implement HR and Safety programs within the organization.
  • Complete all administration functions related to pre-hire process; monitor drug testing results, process background screens, send out onboarding, must follow up with managers on all pre-hire processes.
  • First point of contact for HR email inbox and incoming calls.
  • Provide support as needed to both employees and managers with ADP and other HR needs.
  • Administer and maintain RAIR reporting and files.
  • Manage paperless filing system in a timely and accurate manner ensuring confidentiality.
  • Routinely audit employee files to ensure compliancy.
  • Provide back-up support to HR and Safety staff.
  • Provide comprehensive administrative support to HR and Safety in support of company initiatives as assigned.


ESSENTIAL JOB QUALIFICATIONS/PREREQUISITES:

  • High school diploma or GED preferred.
  • Must have strong communication skills; ability to communicate in appropriate, professional manner with managers, supervisors, employees, customers, vendors, and general public.
  • Must be a clear communicator, via email, in person, and on the phone.
  • Must be able to maintain accurate data, make appropriate decisions.
  • Must be able to maintain, organize and monitor employee confidential information.
  • Must maintain appropriate and expected levels of customer service.
  • Must have ability to determine order of need and task priority based on level of importance.
  • Must exhibit a professional and positive image.
  • Ability to adapt to continually changing priorities.
