Federal Programs Finance Specialist

Position Summary:
The Federal Programs Finance Specialist plays a key role in providing administrative support to the district’s federal programs department and maintaining accurate financial records for federal funds. The ideal candidate will possess strong communication skills, be detail-oriented, and have proficiency in office software and bookkeeping or accounting practices, especially in managing federal funds in accordance with state and federal regulations.

Qualifications:
  • Associates degree
  • Three years of experience in accounting or bookkeeping
  • Fingerprint clearance with the Alabama State Department of Education prior to the start date
Essential Duties and Responsibilities:
  • Answer phone calls, take messages, and respond to inquiries regarding federal programs and financial matters in a professional manner
  • Assist in the preparation, processing, and maintenance of financial records for all federal program grants and funding in accordance with district, state, and federal guidelines
  • Maintain accurate and up-to-date accounting records for federal programs using accounting software
  • Assist with the coordination and filing of required reports related to federal program funding and expenditures
  • Prepare and submit requisitions, purchase orders, and payment requests related to federal program expenditures
  • Ensure timely processing of invoices and payments, maintaining accurate records of all transactions
  • Maintain payroll records for employees funded through federal programs, ensuring accuracy in timekeeping and expense allocation
  • Assist in tracking and monitoring federal program budgets to ensure compliance with spending limits and reporting deadlines
  • Organize and maintain electronic and physical files related to federal program compliance, audits, and other related documentation
  • Manage and respond to email correspondence related to federal programs and distribute information as needed
  • Provide administrative support for meetings and events related to federal programs, including preparing agendas and taking minutes
  • Assist with ordering and maintaining supplies for the federal programs department
  • Maintain confidentiality of sensitive financial and program-related information
  • Collaborate with district personnel, vendors, and external agencies to ensure the efficient operation of federal programs
  • Performs other duties as assigned by school administrators and district administrators

Physical Requirements:
While performing the duties of this job, the employee may be required to sit for extended periods of time. The employee must also talk, hear, stand, and walk. The employee may be required to use their hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
