The Board of Nursing is charged with ensuring safe nursing practice in New Mexico. The Board works with advisory committees around the state that assist with our program for nurses with a substance use disorder. The agency issues licenses or certificates to nurses, technicians, and aides in 10 different categories. The Board also investigates complaints against Licensed Nurses and Certificate Holders regarding potential violations of the Nursing Practice Act, that occur in hospitals, nursing homes, care facilities, laboratories, personal care providers, and therapy settings. The Board of Nursing also conducts site visits at pre-licensure nursing programs, and training programs for hemodialysis technicians and medication aides.

This position exists to provide administrative support to the education and practice division within the Board of
Nursing.
How does it get done?
The key responsibilities are to provide administrative support by maintaining multiple tracking forms, spreadsheets, and documents for hemodialysis training programs, medication aide training programs, and pre-licensure nursing program. The person is in this position is responsible for correspondence and maintaining files for over 70 medication aide training programs, over 60 hemodialysis technician programs, and over 25 pre-licensure nursing program. An additional key responsibility is provide administrative support to the Diversion program. Additional key responsibilities are to assist with advisory committees, committee meetings, and board meetings as needed.
1. Managing Correspondence: Handling incoming and outgoing communications, including emails, phone calls, and mail. Drafting, editing, and proofreading correspondence as needed.
2. Scheduling and Calendar Management: Coordinating appointments, meetings, and events.
3. Data Entry and Record Keeping: Inputting, updating, and maintaining records, databases, and spreadsheets. Organizing and filing physical and electronic documents.
4. Administrative Support: Providing general administrative support to staff and management, including photocopying, scanning, and faxing documents. Assisting with presentations, reports, and other projects as needed.
5. Customer Service: Serving as a point of contact for clients, customers, and visitors. Greeting guests, answering inquiries, and directing calls or messages to the appropriate person or department.
6. Meeting Coordination: Arranging meeting logistics, such as scheduling, room setup, catering, and distributing agendas or materials. Taking meeting minutes and following up on action items as needed.
7. Database Management: Maintaining and updating contact lists, mailing lists, and other databases. Ensuring data accuracy and integrity.
8. Document Preparation: Formatting and editing documents, reports, presentations, and other materials. Creating and distributing meeting agendas, memos, and announcements.
9. Research and Information Gathering: Conducting research on various topics, gathering data, and compiling information for reports, presentations, or projects.
10. Special Projects: Assisting with special projects or initiatives as assigned by management. This may involve research, coordination, and implementation of specific tasks or activities.
Who are the customers?
Board members, staff, licensees, and public. This position reports to the director of education and practice and works with the nurse surveyor,and program manager for the Diversion Program.

Minimum Qualification
High School diploma or equivalent and six (6) months of related experience in office administration andor customer service. Any combination of education from an accredited college or university in a related field andor direct experience in this occupation totaling six (6) months may substitute for the required experience.
Employment Requirements
Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive a Defensive Driving Course Certification within thirty (30) days of date of hire as a condition of continued employment.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT), extensive personal computer and phone usage. Reaching and lifting up to fifty (50) pounds may be required. Occasional in-state and out-of-state travel may be required.
