General Description
This position aims to develop partnerships with internal and external constituents to promote and further graduate studies at the University of Montevallo and recruit prospective graduate students through new student recruitment, outreach, marketing, communication, and program planning. The assistant director will focus on graduate program growth, assisting academic departments in collecting data to develop recruitment goals, and efforts to recruit and retain high-quality graduate candidates.
Essential Job Duties
- Identify target markets for recruiting and marketing to prospective students, including college campuses, schools, school systems, industry forums, professional associations, and organizations that correspond with audiences for new and existing graduate programs.
- Responsible for coordinating viable and effective recruiting activities that engage prospective students, generate new prospect leads, and meet the recruitment and enrollment goals set forth by the graduate programs and the Office of Graduate Studies, including regular travel to recruitment activities, especially during June and July.
- Cultivate and facilitate the development of partnerships with school systems and local businesses, including creating a plan for regular interaction and collaboration.
- Maintain positive and responsive relationships with all current and potential students, faculty/staff, and external constituencies.
- Plan and coordinate information sessions for prospective students and key influencers.
- Work with the Marketing and Communication office to manage graduate marketing communication with prospective students and applicants.
- Generate effective communication to engage prospective students, applicants, and current students.
- Use the CRM system to create and send messages, track messages, manage admissions events, and manage scheduled and non-scheduled notifications regarding updates and reminders related to the application cycle.
- Assist in making decisions regarding marketing, including social media, brochures, specialty pieces, marketing videos, and web content.
- Manage and expand social media reach by posting planned and unplanned content to engage all graduate studies constituencies.
- Manage website content development, newsletter publication, and text messaging platform, including gathering information and composing communication.
- Coordinate with campus offices to ensure the currency of all publicly-facing information.
- Respond to prospect and applicant inquiries via phone, email, in-person, or social media regarding application requirements, admission standards, and graduate studies information.
- Facilitate and manage accurate transcript evaluation for potential students by communicating with program offices and campus departments.
- Monitor and ensure progress in application processing and communicate status updates to applicants throughout the admission process.
- Manage and maintain accurate Graduate Scholarship budgets and coordinate with all graduate programs and the Student Aid Office to utilize Graduate Scholarships to recruit and retain students, including verifying student eligibility requirements, collecting scholarship application documents, and ensuring the accuracy of all external student awards.
- Collaborate extensively with other units throughout the university to showcase program offerings.
- Research, plan, and manage programs and sponsorships for events locally, regionally, and nationally, including initializing travel, registration, and sponsorships; engaging with stakeholders during the event; and creating and executing a follow-up plan.
- Assist in student retention efforts, including helping to advise students in graduate enrichment programs, managing academic warning/dismissal notifications, and working with departments to ensure program retention plans are in place.
- Coordinate individual campus visits for prospective students.

Knowledge, Skills and Abilities
Knowledge of all graduate department policies;
Knowledge of graduate course offerings;
Ability to function in a paperless office;
Demonstrated knowledge of administrative specialty required by the department to be served and ability to independently resolve problems of ordinary difficulty;
Good organizational and interpersonal skills;
Literacy with multiple computer software programs including Microsoft Office, the Google Suite, especially MS Excel and Google Sheets, all popular social media platforms, content development software, and the ability to learn new computer programs;
Strong interest in working in a team-based environment;
Excellent customer service and interpersonal skills;
Ability to travel extensively, especially in the summer, in support of the graduate program
Ability to communicate effectively orally and in writing;
Knowledge in processing data in the University database systems, such as Banner and the University’s CRM.

The educational requirement for this position is as follows: Master’s Degree (can be in progress)
Master’s degree completion preferred.
