Administrative Assistant

The Administrative Assistant (AA) supervises administrative activities in the Department of African American and African Studies (AAAS) with 24 main campus faculty and a growing graduate program; develops administrative procedures; coordinates and provides administrative support for department faculty recruitment and appointments; oversees consistency and currency of all department policies and documents; coordinates department promotion and tenure (P&T )process; writes and prepares administrative reports; represents the department to other administrators, university leadership, and outside agencies; prepares and/or oversees production of annual reports, faculty load reports, and other similar documents. The AA will assist the Chair in designing and realizing the department’s strategic vision. Initially, it will mean planning for the department’s external review by gathering data, planning internal focus groups, and collecting and designing surveys that prepare for the internal report and external reviewers’ visit in the spring of 2026. In response to the external review findings, they will coordinate the department’s response to the findings, including coordinating a strategic planning process similar to the one used for the external review preparation. Once a strategic plan is established, they will set short-, medium- and long-term steps and timelines for realizing the strategic plan’s goal, assess and maintain progress on those goals, including coordination with the Chair, and Directors of Graduate and Undergraduate Studies on strategic plan goals in Graduate and Undergraduate Studies. This person also serves as department liaison to the Development Office; acts as official contact for alumni, donors, and friends; monitors the financial status of select development funds; resolves departmental operating problems and complaints from faculty and students demonstrating confidentiality and tact.

The Administrative Assistant will assist the Chair in Mellon Grant planning, data gathering and reporting for programs such as the Global Black Scholars Network, the centerpiece of the second decade of the UN Permanent Forum on People of African Descent requiring relationship building and collaboration with community partners.

The Administrative Assistant will manage departmental communications, including the Chair’s newsletter and departmental social media to generate publicity in various ways; serves as Executive Assistant to the Chair; advises chair and faculty on departmental and university policies and procedures; supervises student workers; oversees front desk as well as copier, break room and supply closet; participates in department meetings and takes meeting minutes. Responsible for ensuring daily mail is received by department faculty, staff and students as well as mails out letters or packages on behalf of the department; assists Fiscal Officer by performs fiscal activities in Workday or other university system (e.g., facilitate p-card transactions, fiscal requisitions, expense report submissions, orders supplies). Serves as the units Cost Center Asset Tracking Specialist for managing department assets; other duties as assigned.

Required Education:
Associate’s degree in a relevant field or equivalent combination of education and experience

Required Experience:
Four (4) years of administrative experience

Prior experience in higher education or academic setting
The pay range for this job profile is $24.52 - $32.21. The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications

African American and Africans Studies (AAAS) arose from the demands of students, faculty, and community advocates in the aftermath of the waning Civil Rights Movement to have the experiences and far-reaching contributions of Black people recognized, explored, and included in academia. As an inherently applied discipline with social responsibility at its core, the OSU AAAS Department created the Community Extension Center in 1972 to facilitate public-facing scholarship, create community-engaged programming, and foster greater social justice and equity.
