We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support to ensure efficient operations. This role involves performing a variety of tasks related to human resources, business development, and general administrative matters. The Administrative Assistant will report to the HR Director, and work with other departments to contribute to the overall operations of the company. This role requires excellent organizational skills, strong communication abilities, and a willingness to assist in various tasks.
GENERAL ADMINISTRATIVE DUTIES:
§ Answer emails, take messages, and respond to inquiries.
§ Prepare and edit correspondence, reports, and presentations.
§ Perform general clerical duties such as scanning, filing, and data entry.
HUMAN RESOURCE DUTIES:
§ Assist in the recruitment process by posting job openings, screening candidates, scheduling interviews, and communicating with candidates.
§ Assist with onboarding and orientation of new employees.
§ Help maintain employee records and update HR databases.
§ Assist with offboarding of employees.
§ Support HR initiatives and projects as needed.
BUSINESS DEVELOPMENT SUPPORT:
§ Help prepare presentation and marketing materials, ordering gifts and apparel.
§ Maintain customer and prospect databases.
§ Maintain business registrations and licenses with various states and utilities.
SAFETY SUPPORT:
§ Assist the Safety Director in maintaining safety records and documentation.
§ Help prepare and distribute safety reports and training materials.
§ Support the implementation and monitoring of safety programs and initiatives.
Working conditions:
Working schedule: Mon- Fri 8 am – 5 pm EST (12 noon to 9 p.m. Poland time with a dinner break (which would thus be 6 a.m. until 3 p.m. EST)

QUALIFICATIONS:
§ Associate's or Bachelor's degree.
§ Proven experience as an administrative assistant or in a similar role, preferably 2+ years of experience with an American company.
§ Proficiency in MS Office (Word, Excel, Power Point, Outlook), Microsoft 365 is a plus
§ Strong organizational and multitasking skills.
§ Strong written and verbal communication abilities.
§ Ability to maintain confidentiality and handle sensitive information.
§ Detail-oriented and proactive with a strong work ethic.
§ Experience in the construction or utilities industry is a plus
