Job Summary: The Payroll Specialist is responsible for managing the payroll process for the organization, ensuring accurate and timely payment of employee wages, deductions, and benefits. This role involves maintaining payroll records, compliance with federal and state regulations, and providing excellent support to employees regarding payroll-related inquiries. Job Responsibilities: Payroll Processing:
Prepare and process weekly and bi-weekly payroll for all employees.
Ensure accuracy in timesheet collection, input, and calculation of hours worked.
Manage payroll deductions, including taxes, and benefits.
Data Management:
Collect and verify timesheets and payroll data.
Maintain accurate payroll records throughout the project duration.
Record Keeping:
Maintain up-to-date payroll records and documentation.
Ensure compliance with federal, state, and local payroll regulations.
Generate payroll reports for management as required.
Employee Support:
Respond to employee inquiries regarding payroll issues and deductions.
Assist with the onboarding process by explaining payroll procedures to new employees.
Compliance:
Stay informed about changes in payroll laws and regulations.
Prepare and submit payroll tax filings and reports to appropriate agencies.
Collaboration:
Work closely with HR to ensure accurate employee status updates, including new hires, terminations, and changes in salary or benefits.
Assist in annual audits and other financial reporting as needed.
Qualifications:
Bachelor’s degree in Accounting, Finance, Human Resources, or a related field (or equivalent experience).
Must have at least 3-5 years experience in payroll processing and administration.
Strong knowledge of payroll laws and regulations.
Proficient in MS Office Suite, particularly Excel.
Excellent attention to detail and organizational skills.
Strong communication skills, both verbal and written.
