Job Summary In accordance with the policies, procedure and standards of The Lind Boracay, under the supervision of the Events Manager, The Events Associate is responsible for implementation of Socials and Corporate Events and for manning on-site. He or She is in-charge of soliciting and maximizing business opportunities for the resort through business development and account management. Ensures effective and timely communication with clients. Deliver proper and efficient execution of FIT and group requirements by following processes set by the management and proper coordination with concerned departments. Essential Duties and Responsibilities · Meet and exceed sales targets set by the management. · Ensure correct and complete details of BEO’s and GIS prior to sending to Operations for execution. · Ensure closing of deals by securing signed contracts and liaises with clients on finalizing details and gives professional advice on set – ups and planning of events. · Responsible for the dissemination of groups’ related information to other departments e.g. issues Banquet Event Orders (BEO), Group Information Sheet (GIS) and leads pre-event coordination meetings. · Maintains close coordination with respective departments on organizers’ requirements and last-minute event requirements. · Be visible to organizers and clients during their event / group dates and monitors guest satisfaction. · Be present onsite as needed to oversee the operation of banquet functions and work closely with various departments to ensure quality service is delivered to our clients at all times. · Regularly reviews Master A/C postings to ensure postings are done correctly. Reviews billings with organizers regularly so as to eliminate adjustments needed on final invoice. · Establish professional and healthy business relationship with clients by attending to enquiries in a timely and efficient manner. · Implements all sales action plans related to assigned market areas as outlined in the marketing plan. · Attends major travel functions (i.e. trade shows and promotional events) assigned by the DOS/Events Manager. · Arranges familiarization / site inspection trips by major clients and properly endorses to concerned personnel/department on-site. · Update clients on any renovation, construction or refurbishments through mail, sales calls or by inviting them to the hotel. · Update clients on personnel changes through email, telephone calls or sales calls. · Maximizes upselling opportunities whenever possible. · Provide timely recommendation on new market trends that can be applied at the resort. · Help source materials and suppliers needed for execution of and improvement of Events. · Organizes and maintains files that are necessary in keeping client’s information and history accessible for future reference. · Strictly adheres to timely submission of reports. · Strictly adheres to processes and standards set by the management to ensure proper documentation of reports. · Establish a tracing system to ensure organized follow through of leads and deliverables to clients. · Assists Credit and Collection in following up deposits and payments. · Actively participates and contributes to the updating of Marketing Plan. · Attends department meetings and provide accurate feedback for the improvement of the resort. · Strictly monitors wait-listed bookings to maximize revenues. · Attends daily sales briefing and update the team on achievements, issues to be addressed and competitor information.
