Operations Administrator Te Wai Ngutu Kākā

Te Whiwhinga mahi | The opportunity
We have a permanent, full-time opportunity for an Operations Administrator at Te Wai Ngutu Kākā Gallery, AUT. The candidate will be responsible for ensuring the smooth operations of the Te Wai Ngutu Kākā Gallery's office and communications. Working closely with the Gallery staff which includes the Curator and Manager, Gallery Assistant, and Gallery Technician, the Operations Administrator works to ensure the effective and efficient administration of the Gallery.
Established in 2004, Te Wai Ngutu Kākā (previously St Paul St Gallery) is a not-for-profit contemporary art and design gallery based at Auckland University of Technology (AUT), Tāmaki Makaurau. It operates three gallery spaces on the City Campus within the School of Art and Design, and an additional outdoor projection space which operates nightly on St Paul St. The Gallery is dedicated to the development of contemporary art and design through a curated programme of exhibitions, events, symposia and publications focused both locally and internationally.
AUT is a vibrant, achievement-oriented university which is currently ranked in the top 1% of all universities worldwide. This position is an opportunity to support the realisation of a strong and unique curatorial vision through engagement with an exciting practice-based research culture in the AUT School of Art & Design, and the wider art and design community.
This position will manage and oversee the planning, delivery and coordination of Te Wai Ngutu Kākā Gallery's front of-house, and facilitate Gallery engagement through implementing an effective communications plan via email, social media channels, and online listings, working with, and supported by, the dedicated Gallery team.
The Operations Administrator also supports the administration and financial planning of the Gallery, including preparing artist contracts/ agreements, and contracts with other public galleries. They will monitor operational expenditure within budget constraints, and facilitate the Gallery's payments through the AUT accounting systems, ensuring smooth operations, prompt preparations of invoicing & payment requests and timely as well as orderly completion of internal reports.
Reporting to the School of Art & Design's Associate Head of School, Research, the position is committed to supporting staff and student practice-based research and curriculum, and the development of contemporary art and design through a curated programme of exhibitions, events, symposia and publications focused both locally and internationally.

Skills and experience:
  • Experience in working in a gallery environment, or similar creative industries or academic institutions and/or businesses.
  • Administrative, planning and organisational skills to support the development, planning and delivery of exhibitions, symposia, and other public programmes.
  • Knowledge in contemporary art and design is required as is the ability to work both independently and collectively.
  • Skills and experience in administrative processes (financial and operational) along with a high level of communication ability in developing and maintaining collegial relationships with colleagues, and internal and external stakeholders.
  • Knowledge and practice in the principles of equity and diversity with a particular commitment to Te Tiriti o Waitangi and kaupapa Māori led initiatives.
Qualifications:

  • Appropriate tertiary academic qualifications and professional experience in the art and design field, preferably a relevant postgraduate qualification.
