OVERVIEW: Reporting to the Program Manager of Health Transformation, the Administrative & Policy Support role will assist with administrative duties, research, and other policy related tasks. This position requires the incumbent to be proactive and organized, managing a wide variety of responsibilities while efficiently maintaining attention to detail. KEY RESPONSIBILITIES:·
Assists the Program Manager in the development, research, review, and funding opportunities and processes
Supports the monitoring of media, government announcements, and specific government initiatives and legislation
Supports the Program Manager and management team with interjurisdictional or intergovernmental working groups, internal SCO working groups, and external community tables and committees as required
Assists in the preparation of written correspondence (i.e. advocacy letters, briefing notes, research reports) for SCO Health Transformation senior management with a goal of increasing awareness of southern First Nations perspectives, needs, and rights
Assists with gathering research for program development and funding proposals for the SCO Health Transformation department
Helps to prepare annual and other program reporting (narrative and financial) for senior leadership and funders
Assists with the creation and organization of reports, assisting with organizing themes and data
Ensures SCO Health Transformation documents adhere to SCO communication and language standards and formatting
Assists with the coordination of special projects as determined by senior leadership
Provides backup support to the Health Transformation team as needed
Records, transcribes, and documents meeting minutes in a timely manner
Assists with identifying priority areas and assignments
Codes and distributes files (electronically) and to central filing systems
Manages purchase orders, inventory, and travel arrangements for staff and committees/working groups
Coordinates relevant department calendars, meetings, agendas, and logistical support
Organizes meetings and teleconferences and prepares related documentation/reports
Travel to community and other offices within Winnipeg as required
Other duties as assigned
EDUCATION AND QUALIFICATIONS:
1 – 2 year Diploma in Business Administration, or in a related field would be considered an asset.
Experience providing administrative support in a busy, fast paced environment.
Experience setting up and maintaining files, filing system and document tracking systems.
Strong written communication skills to draft, review, and edit correspondence, letters, memos and reports.
Strong verbal communication skills to communicate clearly and professionally with internal and external stakeholders and clients.
Attention to detail with a high degree of accuracy.
Strong interpersonal skills with the ability to work effectively with staff, and build and maintain relationships with internal and external stakeholders
Ability to prioritize workload and work under pressure to meet strict deadlines.
Ability to work independently with minimal Supervision
Experience conducting research and analysis for policy, and implementation
Excellent analytical, problem solving and decision making skills
OTHER REQUIREMENTS:
Must provide a current and satisfactory Criminal Record Check with Vulnerable Sector Search
A valid class 5 MB driver’s license with access to a reliable vehicle for business travel
