Administrative Assistant

The opportunity:
This position exists as compliance with the Canadian Council on Animal Care (CCAC) (the external regulatory body) is required in order for the university to be eligible for continued research support from national granting agencies and foundations. One of the main components associated with compliance with the CCAC is ensuring that an ethics review of all animal use protocols is completed prior to the use of animals in research and teaching. Part of this review consists of compliance monitoring as it relates to the completion of ethics training, ensuring that scientific and teaching merit review is in place, and ensuring that the necessary paperwork and training related to biohazards is completed.
This position is responsible for ensuring that the applicable compliances are in place before protocol approval is granted. This position is critical for maintaining efficiency of animal ethics reviews and approvals, which 1. preserves animal welfare, 2. grants researchers access to funding and, 3. upholds the University’s compliance with the CCAC. The incumbent interprets policies, procedures and regulations and provides advice and assistance to staff and students.
The qualifications and experience we’re looking for:
  • Completion of a formal training program in a related discipline from a recognized institute is required.
  • Undergraduate degree preferred.
  • Four years directly related experience in a research setting or administrative experience at a University, government department, private agency or foundation is required.
  • Knowledge of University regulations, policies, and procedures specifically related to animal care is preferred.
  • An acceptable equivalent combination of education and experience may be considered.
  • Proven time management and organizational skills with sound decision-making capabilities is required.
  • An excellent command of English, both verbal and written is required.
  • Must have intermediate to advanced knowledge of Microsoft 365 and Adobe Acrobat Pro.
  • Strong technical skills to learn and adapt to new and changing technology is required.
  • Must possess excellent interpersonal skills with a demonstrated ability to establish and maintain effective and harmonious working relations with all levels of staff.
  • Ability to work independently with minimum supervision; ability to multi-task, ability to work accurately under pressure with heavy workloads and constant interruptions is required.
  • Ability to set priorities and exercise independent judgment and action in meeting the responsibilities is required.
  • Ability to carry out all aspects of the position with a high degree of tact, confidentiality, diplomacy, discretion, and professionalism is required.
  • Ability to evaluate large documents for completeness, consistency, and compliance is required.
  • Ability to interpret and formulate feedback/articulate key messages is required.
  • Intermediate to advanced knowledge of university systems (i.e EPIC, Banner, FAST, Concur, and Drupal) is preferred.
  • Satisfactory work record, including satisfactory attendance and punctuality, is required.
  • Must be comfortable with receiving information and processing documentation which deals with the use of animals in research and teaching.
