This role of Administrative Assistant works closely with Project & Communications Officers, other executive assistants, and leaders across the VPFO portfolio. The role will play a pivotal role in supporting the Director of Campus Security, the Corporate Privacy Officer, and Senior Legal Counsel. The salary range for this position is:
Recruitment range: $64,629 - $67,486 maximum starting salary is determined through knowledge, experience and internal equity.
Performance range: starting salary to max of $71,504 is available through annual performance increases.
An employee in this classification is excluded from the bargaining unit as defined in the Labour Relations Code
Job Summary
Reporting to the Director in the Office of the VPFO, the administrative assistant provides comprehensive administrative and other support to senior leaders in the Office of the General Counsel and Campus Security Services. The administrative assistant is part of a collaborative team with other administrative staff supporting senior leaders in the portfolio, and project officers who lead projects across the portfolio.
This position deals with privileged, sensitive, and confidential information and at all times the incumbent must demonstrate discretion, independent judgement and high professional standards, operating under strict timelines requiring constant adjustment of priorities and balancing of workload.
Job Requirements
Experience: Minimum of 2 years of recent experience in a similar position or equivalent combination of education, training, and experience.
Related work experience should include:
- Supporting senior leaders in a high-volume setting
- Working with privileged, highly confidential and sensitive material
- Providing exemplary customer service.
- Interpreting and/or applying policy and procedures
Specialized Knowledge/ Education:
- Skilled in maintaining composure in crisis situations, with the ability to adapt to dynamic work environments and manage multiple tasks independently.
- Self-awareness in establishing healthy boundaries and stress management.
- Ability to handle confidential and/or sensitive issues with tact, diplomacy, and compassion.
- Requirement to obtain and maintain a security officer-level security clearance.
Skills:
- Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
- Ability to work independently and as part of a team.
- Strong communication skills including preparing memos, reviewing and editing reports, and summarizing information.
- Proficiency using Microsoft Office Suite (Word, Power Point, Excel) and aptitude to learn new technology platforms/applications.
- Attention to detail and organizational skills.
