Engineering Design is a large team of engineers and other technical professionals that provide design and technical
oversight for a wide range of projects.
The successful Administrative Assistant 1 will support the Director, Engineering Design; and will be required to act
independently with a high level of confidentiality, judgment, discretion, initiative and business acumen.
Duties include general office administrative responsibilities including:
- Maintaining, coordinating, and integrating calendar schedules; booking and managing meetings; conference calls and
event logistics
- Managing correspondence to ensure all items are prioritized and dealt with in a timely manner; maintaining files and
providing back up materials prior to all meetings including the retrieval of materials and preparation of agendas; and
prioritizing, managing, and communicating deadlines/action items
- Coordinating information flow between the Director, their peers, their direct reports and the extended business unit and
business group teams and following up on outstanding action items
- Preparing/drafting emails, scorecards, reports, letters, meeting agendas, and presentation materials
- Event planning and logistical support for both virtual and on-site venues
- Knowledge of SAP time and labour, expenses, management reporting, and Supply Chain Applications
- Accountable for Engineering Hydroweb and Share Point updates, including site layout, updates, and compliance.
- Accountable for maintaining the business unit organizational charts, ensuring the departments’ contact lists are up to date,
and maintain email distribution lists for Engineering Design
- Leads Engineering Design administrative team to ensure compliance, deadlines, and workflows are met
- Works closely with the Engineering Services Administrative Assistant as well as other administrators in Engineering and
Integrated Planning to provide assistance and support when required
