Primary objective
Coordinate, oversee and provide administrative services and support to the Senior Director Information Management and the broader
Information Management function to enable effective and efficient functioning of the section.
Context statement
Information Management Services provides best practice advice and records management services to NTG client agencies. Structured
into several work streams, a wide range of services are delivered, including records management, help desk services, records appraisal,
sentencing and disposal, training development and delivery and Freedom of Information.
Key duties and responsibilities
1. Provide proactive executive level secretariat support to the director including email management, diary management, scheduling,
coordination of executive-level inter-agency meetings, meeting preparation and taking and disseminating minutes.
2. Communicate with the DCDD Executive Services unit, senior management, and unit managers to support the operations of the
Information Management unit.
3. Draft and amend correspondence and documents (briefs, reports, and memos) as requested, ensuring appropriate quality assurance
and liaise with document authors to make changes before documents are progressed.
4. Manage all processes associated with the Tier 1 procurement of goods and services for the section including management of the
corporate credit card, petty cash, and payment of division invoices.
5. Develop and implement efficient and effective reporting and monitoring systems to support the management of human, financial,
technological and records resources of the division.
6. Undertake research into a range of matters, analyse, information and data and manage small projects.
7. Develop, maintain, and foster positive working relationships with internal and external stakeholders including agencies and Corporate
Services functional streams.
Selection criteria
Essential
1. Proven experience in executive support requiring autonomy, confidentiality, initiative, integrity, and sound judgement.
2. Proven experience in delivering a secretary function, with the ability to write accurate and concise meeting minutes.
3. Proven organisational skills and the ability to effectively meet deadlines and manage competing priorities while maintaining high levels
of accuracy and attention to detail.
4. Strong interpersonal skills with the ability to communicate effectively and diplomatically with a range of internal and external clients
and stakeholders.
5. High-level computer literacy skills, including standard office software packages, as well as skills in researching, analysis and
undertaking small projects and the preparation of high-level correspondence in plain English.
6. Demonstrated work ethic and attitude which emulates DCDD values of being professional, accountable, honest respectful and
innovative.
Desirable
1. Experience with the TRM records management system and other NTG systems (EIMS, ECMS, TRIPS) or equivalent.
