About the Role
We are seeking an Executive Assistant for a Full Time – Permanent position at our Canberra Office - Barton, ACT.
This role is accountable for providing a full range of Executive Support to the Head of External Communications. This will involve a range of coordination activities and administration to ensure the effective management of the area.
This role will be required to develop and manage relationships with several key internal and external stakeholders and must maintain high levels of confidentiality and professionalism at all times.
Key Responsibilities:
You will be successful in this role if you can:
Provide a full range of executive support to the Head of External Communications to ensure the effective management of the office, schedule and workload.
Accountable for the effective diary management of the Head of External Communications
Accountable for the coordination of meetings on behalf of the Head of External Communications including preparation of agendas, coordination of attendees, organising briefs, reports etc as required, recording of minutes/actions required and circulation of key outcomes and outstanding issues.
Ensure sound document control and record management of key information is maintained developing and utilising filing and retrieval systems.
Establish and maintain effective confidential administrative processes and ensure they are easy to use and retrieve.
Manage a range of financial processes including expenses, payroll, invoices etc. to support the manager and the function.
Undertake a range of general office administration to ensure the smooth running of the office and function.
Development and nurturing of relationships with a range of both internal and external stakeholders and collaboration with other executive assistants within the Communications portfolio.
Qualifications and Experience:
Certificate IV/ Diploma in business administration and/or significant demonstrated experience in executive support position
Proven experience in business administration
High level of writing and literacy skills
Requirements of the Role:
A national police record check is required.
Interstate travel as required.
