UPPER SCHOOL ADMINISTRATIVE ASSISTANT FOR STUDENT LIFE

The Administrative Assistant for Student Life collaborates with Upper School deans to support the overall experience for Pace students. This highly visible position plays an integral role in the day-to-day life of the Upper School, and acts as a liaison between the deans and faculty, staff, students and parents/caregivers. The position requires a joyful disposition, high energy and enthusiasm for school life, as well as the highest level of confidentiality, excellent organizational and technological skills, warmth and a sense of humor. The candidate must excel at and enjoy collaboration and consensus-building, and possess patience, persistence and excellent communication skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Collaborates with the Upper School registrar to facilitate student schedules and track paperwork involved in changes.

Maintains confidential information.

Navigates the student awards process, which includes initiating voting, maintaining and updating awards data and tallying votes.

Coordinates special events and assemblies, including National Honor Society induction and other awards ceremonies, Spring Arts Festival and grade-level retreats.

Oversees student attendance, which includes maintaining student databases, tracking absences and tardies, approving excused absences, coordinating off-campus privileges, and communicating with faculty, coaches, students and parents/caregivers regarding student attendance.

Manages Study Hall assignments and Lost & Found; assigns lockers and combinations; issues certificates of attendance for driver’s permits and licenses.

Serves as an official notary on behalf of Pace to assist with student documentation issues.

Facilitates all student, faculty and parent communication from the deans and for student life, promotes a positive school climate and provides individual student support when needed.

Flexibility may be required to work more than 40 hours per week on occasion and be present at special events.

MINIMUM QUALIFICATIONS:

Bachelor’s degree
-
3-5 years administrative or clerical experience

Exemplary writing, editing and speaking skills

Must have or be able to obtain a notary seal in Georgia

Strong technical skills with proficiency in Excel and database querying

Experience with a wide range of media, mail merging and calendaring

Strong attention to detail, organizational and time-management skills
WORKING CONDITIONS:

Moderate noise (i.e., business office with computers, phones and printers, light traffic)

Ability to work in a confined area

Ability to sit at a computer terminal for an extended period

While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, and use hands and fingers to operate a computer, telephone and keyboard
