As an Administrative Assistant and Receptionist at EEG, you will play a vital role in both maintaining a positive and productive work environment for our team. The Administrative Assistant and Receptionist at EEG provides support at the corporate office for the Human Resources and Facilities departments so that our venues continually operate in environments exceeding customers’ needs and expectations. Key Responsibilities:
Greet clients, visitors, and guests; determines the purpose of visit and directs or escorts to the appropriate location.
Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
Performs administrative and clerical support tasks, such as filing, data entry, generating reports, and ordering supplies.
Performs basic filing and recordkeeping.
General coordination of office functions, including kitchen, kitchen supplies, and conference room. Maintains a clean, safe, and welcoming environment.
Coordinates conferences and meetings, including arranging for meeting space, transportation, meals, security, etc. Assists in the preparation of agendas.
Assists with new hire onboarding.
Tracks and enters Facilities’ employee timecards for payroll processing.
Record and file receipts for purchases and expense reimbursement reports.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Knowledge of office administration, clerical procedures, and recordkeeping systems.
Proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. (Outlook, Word, and Excel in particular)
Education and Experience:
High school diploma required; Bachelors degree in Business Administration or related field preferred.
At least two years of related experience required.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 25 pounds at times.
