Receptionist

SUMMARY
Operates Mitel multi-line telephone system to answer incoming calls and directs callers to appropriate personnel by
performing the following duties. Provides office support to the entire organization by handling information requests,
quality management, and performing clerical functions.


ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.

  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
  • Answers inquiries and obtains information for the general public, customers, visitors, and other interested parties
  • Provides information regarding activities conducted at establishments; location of departments, offices, and employees within the organization
  • Greets visitors and contacts the appropriate person to escort them throughout the building
  • Monitors visitor access and enforces sign-in procedures
  • Receives payments for services and products
  • Performs quality control function by researching, compiling, and tying statistical reports for underwriting and management
  • Receives street mail, overnight packages, and agent mail delivered to the Home Office routes to Mail center for proper delivery
  • Performs other clerical duties as needed

EDUCATION and/or EXPERIENCE
: Associates degree (A.A.) or equivalent from a two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.


LANGUAGE SKILLS
: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Ability to write routine reports and correspondence. Ability to speak effectively before customers
